Essential Job Functions

POSITION OVERVIEW

The Boston office of Kirkland & Ellis is seeking a Human Resources Coordinator. This individual will report to the Boston Office Human Resources Manager and will primarily be responsible for facilitating Human Resources tasks, projects, and processes in the Boston office. The ideal candidate will be someone who provides excellent customer service to all internal and external clients, is passionate about Human Resources and going the extra mile to support our staff and attorneys, values collaboration and teamwork, and strives for improvement and increased efficiency.

ESSENTIAL FUNCTIONS

1) HR Projects

  • Assist HR Manager with a variety of human resources projects, including, but not limited to document audits, file digitization, summer internship coordination, community outreach programming.
  • Support HR Manager with annual performance review process and the 30-60-90 day onboarding program.
  • Assist with local office wellness initiatives.

2) Staff Recruiting

  • Serve as point person for local campus recruitment initiatives.
  • Post positions through direct and creative channels including external Firm website, internal Firm intranet, job posting boards, college boards, professional organizations, etc.
  • Review resumes and credentials for appropriateness of skills, experience, and knowledge in relation to the position requirements.
  • Administer employment testing to applicants.

3) Employee Onboarding

  • Coordinate new hire onboarding, including conducting background and reference checks for new hires.
  • Conduct first day orientation for new staff members.
  • Verify new hire paperwork including I-9 documentation.
  • Send new hire survey and analyze feedback.

4) HR Administrative Support

  • Respond to employee questions regarding Human Resources policies and procedures.
  • Ensure employee compliance with anti-harassment training.
  • Send anniversary emails to employees reaching years of service milestones.
  • Send offboarding paperwork to departing employees, ensure collection and filing of paperwork.
  • Coordinate any employee ergonomic needs.
  • Update departmental process manuals.
  • Maintain electronic personnel files.
  • Regular auditing of time reports and employee time cards to ensure compliance with time & absence policies.
  • Complete employment verifications and employment letters.
  • Provide backup support for Practice Assistant program administration.
  • Other assignments and projects as assigned.

Qualifications & Requirements

Education, Work Experience, Skills

  • Bachelor’s degree with two to four years of Human Resources experience
  • Excellent initiative and high standards for personal performance
  • Ability to learn quickly, multi-task and meet concrete deadlines
  • Excellent proofreading and organizational skills and acute attention to detail
  • Process orientation with proven project management ability
  • Excellent follow-through skills, as well as keen judgment and problem-solving skills
  • Must have the ability to maintain the highest level of confidentiality at all times
  • Be flexible to work overtime, as needed

Technologies/Software

  • Working knowledge of Word and Excel is required.
  • HRIS knowledge is required; PeopleSoft experience is preferred.
