Essential Job Functions

POSITION OVERVIEW

As a member of the Firmwide Legal Recruiting and Development Department (LRD), the Salt Lake City Legal Recruiting & Development Assistant will work with all aspects of Legal Recruiting and Development/Training programs in the Kirkland & Ellis Salt Lake City office. This position will primarily support the Legal Recruiting team and is responsible for assisting the overall administration of the attorney recruiting process including, but not limited to: fall on-campus recruiting, facilitation of the Summer Associate Program and lateral hiring as well as maintenance of recruiting databases, statistics and general office duties.  The Assistant will also support the Attorney Engagement & Development team and is responsible for assisting the overall administration of attorney training and development.

ESSENTIAL FUNCTIONS (This list is not exhaustive and may be supplemented and changed as necessary.)

Recruiting:

  • Assist with event planning and coordination including scheduling, tracking attendance and RSVPs
  • Register for on-campus interviews and prepare subsequent paperwork and materials
  • Support on-campus recruitment efforts by attending events at various law schools
  • Support SL lateral recruiting efforts as well as SL office campus recruiting efforts
  • Assist and support broader SL LRD team with ongoing strategic projects as needed
  • Maintain the Kirkland databases including candidate entry and status updates
  • Assist with scheduling candidate callback interviews and overall interview calendar
  • Process candidate expenses and reimbursements
  • Submit HR related forms including billing forms and payroll orders
  • Maintain Fellowship materials and records
  • Facilitate assignment distribution and evaluation process
  • Create Summer Associate directory
  • Prepare and mail letters and questionnaires
  • Answer incoming calls, emails and other aspects of candidate interaction

Education/Development:

  • Assist in the coordination of in-house training programs including preparing attendance sheets, handout materials and processing invoices and expenses through Chrome River
  • Confirm necessary space has been booked including technical needs and meal requirements
  • Provide support for Firm events including but not limited to Kirkland University trainings, Women’s Leadership Initiative and Diversity & Inclusion sponsored activities
  • Prepare and finalize New Attorney Orientation schedules and First Day Memo
  • Send out New Attorney Welcome email 

 

OTHER FUNCTIONS (This list is not exhaustive and may be supplemented and changed as necessary)

  • Interact with attorneys and staff at all levels while troubleshooting issues across multiple projects in a fast-paced environment
  • Prepare and distribute materials for on-campus and in-office events
  • Assist in meeting and event support while maintaining departmental calendars
  • Conduct accurate and timely entry of departmental data into various databases
  • Prepare check requests, process invoices and expenses in Chrome River
  • General administrative duties including filing, copying, and document preparation

Qualifications & Requirements

QUALIFICATIONS

Education, Work Experience, Skills

  • A Bachelor’s degree or equivalent experience and at least one year of work experience
  • Experience working for a law firm or professional services is preferred
  • The ideal candidate will:
  • Be highly organized, possess excellent proofing and communication (oral and written) skills with a strong attention to detail
  • Display an ability to multitask in a fast-paced environment
  • Show a professional demeanor and strong interpersonal skills
  • Build relationships among lawyers and staff to achieve results; this position requires a high level of collaboration with attorneys and staff and the ability to exercise independent judgment and confidentiality
  • Exhibit a proficiency in Word, Excel, PowerPoint as well as a working knowledge of relational databases
  • This position will need to attend off-site events where some of these venues require attendees to be fully COVID-19 vaccinated.

 

WORK ENVIRONMENT

  • This job operates in a professional office environment.
  • This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
