Essential Job Functions

The Investment Partnerships Administration Department is seeking an Administrative Assistant to handle a wide range of administrative support and interact with personnel at all levels in a fast paced environment. The candidate should be comfortable collaborating and coordinating with the other executive/administrative assistants as well as interfacing directly with senior partners, managers, and clients.

Essential Functions: (This list is not exhaustive and may be supplemented and changed as necessary.)

  • Coordinate mass mailings, monitor responses, and field questions
  • Coordinate the collection of a high volume of legal, financial, tax, and regulatory documents for signature
  • Document management for a high volume of documents
  • Data entry
  • General correspondence
  • Various other ad hoc support tasks as necessary

Qualifications & Requirements

  • A minimum of 3 years of experience in a law firm or professional services firm is required; work experience supporting a senior level executive in a professional services organization is desired.
  • A Bachelor’s degree or equivalent experience is desired.
  • Candidates should be self-motivated, require minimal supervision, and will be required to maintain confidentiality.
  • A strong working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook are required, Dynamo preferred; the ability to adapt easily to new software and other web-based tools is critical.
  • The individual should be flexible in order to handle time sensitive requests, including periodic needs outside of standard working hours.
  • A desire to learn new skills and to expand their skills over time is necessary.

Work Environment

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
