Essential Job Functions

The Legal Education Compliance Assistant is an integral member of our Firmwide Legal Recruiting & Development (LRD) department.  Reporting to the Firmwide Senior CLE Compliance Manager, this assistant will be a Firmwide resource that actively supports global processes to manage the accuracy and integrity of Kirkland and Ellis’s attorney CLE compliance.  The Firmwide CLE Compliance Assistant will be the first point of contact for Chicago attorneys to manage and support end-to-end process of CLE accreditation and compliance.  The Firmwide CLE Compliance Assistant is a highly visible role within the Firm and will be responsible for supporting LRD resources with respect to centralized direction, guidance, and support as it relates to Firmwide CLE accreditation and compliance.     

Essential Functions:

  • Organize and manage the A-M and N-Z Illinois CLE compliance deadlines
  • Compile and submit the Illinois Annual Accreditation Report
  • Submit daily and weekly Illinois course submissions through PCAM
  • Audit the monthly attendance report and upload attendance to PCAM
  • Assist with international courses and credits (tracking in CE Manager and PCAM)
  • Monitor California, New York, Texas, Utah, and Virginia CLE (requiring timely notification of compliance and reporting)
  • Lead CE Manager troubleshooting
  • Run monthly reports to check compliance deadlines for attorneys licensed in jurisdictions where Kirkland tracks compliance and work with Firmwide teams to ensure CLE reporting notifications are being sent
  • Assist with CE Manager training/retraining for Firmwide Legal Education team members
  • Contribute to process, procedure, and technology improvements in order to reduce risk, maintain and promote the integrity of Kirkland’s CLE compliance, and improve efficiency
  • Drive and support CLE audits
  • Assist with new hire/lateral hire onboarding and departing attorneys as it relates to CLE accreditation and compliance  
  • Oversee external CLE programs
  • Manage outside seminar process
  • Process and maintain certificates of attendance
  • Escalate risks and issues appropriately
  • Collaborate with and support the team and build and foster working relationships with business partners across the Firm
  • Demonstrate servant leadership and be a good Kirkland Firm steward
  • Work with, identify, develop, lead, and manage key external vendor relationships
  • Ability to learn and work independently but actively listen to and understand and follow directives to get desired results
  • Respond to department communications with accurate information in a timely manner and address time-sensitive issues
  • Ability to work overtime and perform duties outside of scheduled work hours, as needed, to meet the business needs of the Firm
  • Lead special projects as assigned, as activities designated to the Firmwide CLE Compliance Assistant will continue to evolve and shift as needed based on the needs of LRD strategy or in support of LRD leadership 

Qualifications & Requirements

  • A Bachelor’s degree is required.
  • A desire to work in a flexible environment with an ability to adapt quickly to changing priorities is a must. 
  • This position requires a high level of collaboration with internal and external clients; therefore, the ideal candidate must interact well with people at all levels with a high degree of accuracy, professionalism, and accountability. 
  • The ideal candidate will have excellent analytical, troubleshooting, organizational, time management, and planning skills.
  • A successful candidate with demonstrate effective interpersonal and communication skills, both verbally and in writing.
  • The candidate must be self-starting, proactive, organized, and have the ability to exercise independent judgement and utilize critical thinking.   
  • Proficiency in Microsoft Office is required.
  • Working knowledge of CE Manager preferred.
