Essential Job Functions

The Administrative Assistant will provide administrative support to the Chief Human Resources Officer (“CHRO”) and the Firmwide Human Resources team.  Responsibilities include, but are not limited to: support the CHRO with the budget process, prepare and report on financial metrics and tracking vendor payments; track and report on tuition reimbursement and remote work arrangements; provide complex calendar management, conferences and prepare travel arrangements and expense reimbursement.  Plan and coordinate events, including luncheons and various senior management meetings.  Prepare internal and external communication and proactively anticipate needs of the CHRO.

Essential Functions:

  • Complex meeting scheduling, email and calendar management
  • Perform preparation and analysis of monthly, quarterly and annual budget results
  • Track and report to CHRO on tuition reimbursement requests and approvals
  • Track and report to CHRO on remote work arrangements
  • Process and track expenses and vendor payments for Firmwide Human Resources team
  • Attend key meetings and capture comprehensive notes/actions for reporting
  • Create agendas, itineraries, and other support materials
  • Anticipate needs to ensure projects and deadlines are met
  • Able to prioritize assignments to meet deadlines and multi-task
  • Exercise good judgment in a variety of situations
  • Respect for confidentiality and discretion to properly handle sensitive information
  • Aid in preparing and sending office wide communications related to human resources announcements
  • Develop positive and effective working relationships with the executive team and other colleagues
  • Build an effective internal and external network

Qualifications & Requirements

Education, Work Experience, Skills

  • A Bachelor’s degree preferred
  • 5+ years of experience in a law firm or professional services environment
  • Strong administrative, planning and organizational skills
  • Excellent communication skills, both written and verbal
  • Ability to collaborate and work well within a team environment
  • Ability to work overtime as required


Proficient in Microsoft Office and advanced Excel skills

Work Environment: 

This job operates in a professional office environment. This role routinely uses standard office equipment such as laptops, smartphones and photocopiers
