Essential Job Functions

As part of the greater Firmwide Legal Recruiting & Development Department, the contract Legal Education & Development Assistant’s primary focus is assisting the FW Legal Education & Development Manager in the coordination and implementation of department events and retreats. This position requires a high level of collaboration with the Legal Education & Development team and works closely with attorney practice groups to develop internal Attorney Engagement and Legal Education events from inception to execution. This high-visibility position requires the ability to work independently, and the ability to follow-up with vendors, staff and attorneys as needed.
 

Essential Functions: (This list is not exhaustive and may be supplemented and changed as necessary.)

  • Assist with event venue / vendor research and sourcing associated with the support and execution of events;
  • Assist in the development, distribution and management of online event registration websites and email communications using Cvent Event Management software and Microsoft Outlook;
  • Assist in coordination of the pre- and post-event registration process. This includes organizing, tracking and sharing event RSVP lists and registration data, fielding registrant updates, and communicating registration data to pertinent parties internally and externally;
  • Assist in coordinating event logistics, including hotel rooming lists, meeting room set up, A/V and catering;
  • Assist in the preparation and final production of any/all event specific materials including nametags, sign in sheets and event giveaways, etc.;
  • Serve in an on-site event production capacity for any/all needs related to in-person events, including registration table staffing, on-site coordination with vendors, providing face-to-face customer service to event attendees, etc.;
  • Assist with post production event recaps including the generation of final attendance numbers, cost summaries and other post event surveys and reports;
  • Assist with invoice processing and budget reconciliation activities;
  • Assist with coordination of major annual firmwide attorney training programs such as the Kirkland Institute for Trial Advocacy ("KITA") program, practice group retreats, and new hire training programs;
  • Other duties as assigned.

Qualifications & Requirements

Education, Work Experience, Skills

A Bachelor's degree and minimum of one year of experience in a professional services organization and/or law firm as well as proven experience with corporate event planning.

Ideal candidate will possess strong interpersonal and customer service skills with the ability to interface with attorneys, stakeholders and staff to achieve results. The ideal candidate will be highly organized, possess excellent proofreading and communication (oral and written) skills; event coordination skills; the ability to multitask in a fast-paced environment; a very strong attention to detail and a professional demeanor.

Technologies/Software

  • Technical experience should include MS Word, SharePoint, Excel and PowerPoint. 
  • Technical experience with Cvent Event Management software strongly preferred.
