Essential Job Functions

The Support Services Assistant is responsible for providing administrative support to the Practice Services and Document Services teams including by not limited to: answering telephones, scheduling meetings, calendaring, monitoring and approving staff attendance records, submission of expenses, updating Chrome River and Carpe Diem delegates, updating and maintaining assignment information in People Soft, creating new hire binders, preparing reports, and special projects as assigned. 

The ideal candidate must possess excellent communication, organization and planning skills, including the ability to manage multiple projects concurrently; a team-oriented proactive approach, strong attention to detail and problem-solving skills are necessary.

Essential Job Functions:

Technical Support

Use Firm software (MS Office, including Excel & PowerPoint, DMS, databases etc.) to prepare, revise, format and finalize a wide variety of work, including spreadsheets, presentations, correspondence and memoranda.  I

Administrative Support:

Assist with calendaring and scheduling of appointments, Monitor and maintain practice assistant attendance and overtime, create binders, assist with updating information in People Soft, Chrome River and Carpe Diem, assist with annual review process, maintain department information and calendars.

Interact on a daily basis with various Departments within the Firm to facilitate the highest possible support, including Human Resources, Accounting, General Services, Conference Center,

Reprographics and Digital Services.

File Maintenance:

Establish and maintain paper and electronic files in compliance with current firm policies utilizing the Firm’s Document Management System.

Customer/Client Service and Teamwork:

Provide assistance to other members of Support and Document Services Departments and practice assistants whenever necessary to meet Firm and client needs; organize and prioritize workload to most efficiently enable and facilitate team effort to accomplish Department, Firm and client goals.  Fosters professional, cooperative and supportive relationships with peers, superiors and attorneys.  Shares information and offers ideas and solutions in a team environment. 

Professional Demeanor:

Exhibit professionalism by recognizing and adhering to all Firm policies, including attendance guidelines, dress code, security measures, and confidentiality requirements.  Maintains positive, professional, courteous and flexible demeanor when dealing with Firm personnel. Performs administrative activities which may be confidential and sensitive, and require discretion and diplomacy.

Qualifications & Requirements


The ability to work the core business hours of 9:00 am - 5:00 pm with flexibility for overtime, as required.  2-3 years prior administrative experience. Proficiency in MS Excel, Word and PowerPoint with a minimum typing speed of 50+ words per minute required.



Education Requirements:

Must have high school diploma.  Associate Degree in Business preferred.
