Essential Job Functions

The Administrative Assistant provides support to managers and department, including the following: updating schedules and reviewing absences in PeopleSoft; processing expense reports; scheduling meetings; researching and compiling department statistics; creating and revising complex Excel spreadsheets; organizing and converting this data into charts and graphs for presentations and memos; creation of PowerPoint flowcharts and presentations; compiling data utilized for staffing decisions; tracking and monitoring department overtime; and assisting with other projects as assigned.

This position requires a professional, organized self-starter with great customer service skills and outstanding oral and written communication skills.  Attention to detail, the ability to adapt to technology and emerging software, and commitment to department and organizational goals is necessary within our fast-paced legal environment. 

Essential Functions: (This list is not exhaustive and may be supplemented and changed as necessary.)

  • Timekeeping responsibilities
  • Answer phones, schedule meetings and maintain calendars
  • Research and compile department statistics regarding staffing and billing
  • Create complex graphs and charts utilizing both Excel and PowerPoint
  • Perform administrative activities which may be highly confidential and sensitive, and require discretion and diplomacy

Qualifications & Requirements

Education, Work Experience, Skills

  • The qualified candidate will have 3+ years of experience in a legal or financial services organization. 
  • A college degree or business certification is preferred; equivalent work experience will be considered. 


  • Expert knowledge of Microsoft Excel, PowerPoint, and Outlook is required, as well as a minimum typing speed of 55 wpm. 

Work Environment

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
  • The schedule for this position allows employees to troubleshoot and interact with the attorneys, staff and clients on a regular basis.
