Essential Job Functions


The Human Resources Coordinator, under the leadership of the Associate Director of Human Resources will work with department team members, other functional groups across the firm to assist in the coordination of Kirkland & Ellis LLP general human resources activities for the Washington, DC office.  Primary responsibilities include, supporting the Associate Director of HR (local HR Lead) with sensitive employee relations issues as well as other HR-related responsibilities; which include filing personnel files, responding to requests for employment verification, responding to questions about HR policies and procedures, checking and responding to questions in the DC Human Resources mailbox, maintaining a positive work relationship with other departments, locally and throughout the firm and assisting with project work, as necessary/requested.  It is expected that the individual will take on additional responsibilities and more complex project work over time.   

ESSENTIAL FUNCTIONS (This list is not exhaustive and may be supplemented and changed as necessary.)

Customer Service

  • Provide customer support to partners, associates, and employees on general human resources and payroll matters.  Provides back up assistance on benefits and LOA matters.
  • Investigate discrepancies, propose solutions and manage outcomes for various matters including payroll, timekeeping and general HR operations
  • Coordinate and facilitate exit interview process with departing attorneys and staff as it relates to general HR processes

Timekeeping & Attendance

  • Serves as local office timekeeper for all non-exempt employees
  • Assist employees with timecard and overtime questions
  • Assist managers with timecard maintenance questions
  • Ensure timecards are balanced to meet payroll processing deadlines
  • Maintain and update on-going employee schedule changes

General HR Responsibilities

  • General administrative duties such as typing correspondence, answering phones, creating labels, tent cards, purchase orders, and opening and processing interoffice mail.
  • Prepare and send out Weekly Memo.
  • File documents into personnel and performance review files; maintain files and keep them organized
  • Maintain and audit 1-9 forms; track expiring I-9 immigration authorization documents.
  • Respond to basic questions regarding HR policies and procedures.
  • Complete employment verifications/wage assignments/unemployment claims/child support.
  • Prepare sensitive departure paperwork, and payroll orders.
  • Maintain HR firm facing/internal SharePoint sites
  • Respond to HR  inquiries and calls and direct calls/questions to appropriate departments or personnel
  • Provide excellent customer service to all internal and external clients

Recruitment & New Hire Facilitation

  • Greet and administer testing to job applicants
  • Prepare new hire HR orientation information for attorneys and staff. Conduct new hire orientation.
  • Onboarding contract workers and interns
  • Post positions in PeopleSoft, screen potential candidate resumes and distribute applicant information to appropriate manager
  • Prepare responses for applicants through recruiting process
  • Facilitate candidate interviews with functional leads and other managers as appropriate
  • Process new hires and facilitate completion of new hire paperwork

Qualifications & Requirements

Education, Work Experience, Skills

  • College degree and a minimum of three years of HR experience; or equivalent combination of experience and education is required
  • Considerable initiative, outstanding customer service skills and the ability to learn quickly
  • Superior written and verbal communication skills; must be skilled with drafting communication targeted to a wide variety of audiences
  • Must have a high energy level, can-do attitude, and high standards for personal performance
  • Work requires excellent proofreading skills, analytical ability, organizational skills, acute attention to detail, excellent follow-through skills, as well as keen judgment and problem-solving skills
  • Individual must have the ability to maintain the highest level of confidentiality at all times
  • Ideal candidate will be able to multi-task, meet concrete deadlines as well as be a solid team player


  • Advance Microsoft Excel skills are required; proficiency using vlookups and pivot tables desired
  • Strong Microsoft Word skills and general working knowledge of PowerPoint and Access is also necessary
  • Aptitude for learning new software is essential
  • Experience with PeopleSoft is desirable
