Essential Job Functions

Kirkland & Ellis is seeking a specialist to support the efforts of the Contact Relationship Management (CRM) team within the Firm’s Marketing/Business Development (BD) function. Kirkland has a very robust and successful CRM program and this position presents the opportunity to help shape the program further in our New York office.

You will be the CRM expert and point person in the Firm’s New York office while also being a key senior member of the global CRM team. You will be responsible for ongoing data maintenance, business development department support and end user support of the Firm's CRM system. You will use your previous CRM experience to perform database entry and maintenance, ensuring the accuracy and integrity of information in the CRM. You will be responsible for researching and updating CRM data, executing searches and reports to analyze data, conducting trainings for both legal and administrative staff and working with the CRM and IT teams to test system changes and updates.

This position will report to the Business Development Associate Director (CRM) and will work closely with other global CRM team members. You will also communicate and collaborate daily with more than 125 diverse problem-solvers and advisers dedicated to the broader business development, marketing and communications efforts of the Firm. Our international BD team provides seamless service to our attorneys with a focus on quality, innovation and responsiveness.
 

Essential Functions: (This list is not exhaustive and may be supplemented and changed as necessary.)

  • Fully understand the functionality, configurations and integrations of the Firm’s CRM system (InterAction) and e-marketing platform (Concep) and how attorneys, practice assistants, BD staff and other functional departments use the systems.
  • Work closely with the Business Development Associate Director (CRM) and Business Development Director in New York to improve the CRM program and deliver information seamlessly to attorneys.
  • Perform data entry, DCM ticket management and data maintenance as assigned and independently. Process contact updates from Business Development staff, attorneys, practice assistants and other functional departments, as well as external sources.
  • Understand the entire lifecycle of a CRM contact and notify end users of contact updates and understand how to process updates as an end user.
  • Perform searches to reveal missing information and inconsistencies in data. Take action to resolve issues including merging duplicate records, populating missing data and conducting research to verify the accuracy of information.
  • Become an expert in the Business Development processes and procedures used for mailing list creation, event tracking and all marketing communications (e.g., newsletters and alerts). Gain familiarity with the Firm’s practice group structure and assist Business Development staff with targeting the appropriate audience.
  • Assist in the implementation of new marketing technology platforms, including but not limited to, writing requirements, technical specifications, meeting notes and follow-up.
  • Manage the CRM team’s process and procedure guides, testing materials and other projects as assigned.
  • Collaborate with other staff departments, as needed.

Qualifications & Requirements

  • A four-year degree is required
  • 5+ years of database management or CRM experience (in a professional services environment is a plus).
  • The position demands meticulous data entry, writing and proofing skills, and you need to possess the ability to quickly learn and use new software.
  • Strong organization and communication skills with the ability to interact professionally with high-level attorneys, staff and guests of the Firm are a must.
  • You should be able to work independently while making intelligent, informed decisions. Kirkland demands quality work from every employee (often in high-pressure and deadline-driven scenarios) so you need to be able to multi-task and prioritize effectively.
  • You should also be able to work, collaborate and take direction from other members of your immediate team.
  • A history of taking initiative is essential to success in this position.
  • This is a highly visible function within the firm, with aggressive deadlines and demands, so you will be expected to work additional hours as needed

Technologies/Software

  • Experience with a CRM platform (InterAction and/or Salesforce is a plus)
  • Experience using an e-marketing platform (Concep or Vuture is a plus)
  • Experience with data reporting and visualization tools (Qlik, Power BI, Tableau or SQL is a plus)
  • Strong skills in MS Office software with expertise in Microsoft Excel, PowerPoint and Word are required. Experience with Adobe and SharePoint are preferred.

Work Environment

  • This role requires interaction with attorneys and administrative personnel on a regular basis, as well as communicating to various groups within the Business Development Department. The successful candidate will possess outstanding proofreading and communication (oral and written) skills, and the ability to multitask and prioritize in a fast-paced environment with meticulous attention to detail and a professional demeanor.
  • Overtime work will be required on occasion.
  • Some travel may be required on occasion.
