Essential Job Functions

POSITION OVERVIEW

As a member of the Firmwide (FW) Legal Recruiting and Development Department (LRD), the Legal Recruiting Coordinator will support law student, entry level, clerk and lateral hiring, assistance with the Summer Associate Program, maintenance of the applicant tracking system, and general administrative responsibilities as assigned for the Bay Area offices (San Francisco and Palo Alto).

This position requires a high level of collaboration with attorneys and staff and the ability to work independently.  This position requires the exercise of independent judgment.

 

ESSENTIAL FUNCTIONS (This list is not exhaustive and may be supplemented and changed as necessary.)

  • Assist in the New Associate Onboarding/Orientation process, including: 
    • Managing and processing all attorney new hire paperwork throughout the year
    • Preparing Human Resources paperwork including processing stipend checks
    • Preparing new hire orientation schedules and related materials; creating the New Associate picture book
  • Assist with fall on-campus interviewing administration including: 
    • Scheduling callback interviews
    • Collecting interview feedback
    • Entering and maintaining  candidate information into Firm’s database
    • Processing candidate expense reports
    • Preparing materials for on-campus interviews and callback meetings
    • Generating offer and rejection letters
    • On-campus interview schedule registration
    • Consolidating and submitting post-OCI employer feedback
  • Assist in the Summer Associate Program, including: 
    • Preparing summer associate mailings
    • Managing and processing all summer associate paperwork
    • Preparing files for mid-summer/end of summer reviews
    • Preparing orientation materials
    • Tracking event RSVPs
    • Creating the Summer Associate picture book
  • Provide lateral hiring support:
    • Entering and maintaining candidate information into Firm’s database
    • Assist with lateral candidate interview scheduling and feedback collection
  • Work with Attorneys, summer associates and recruits to answer questions and be a resource
  • Maintain candidate database as resumes are received and decisions are made
  • Draft and manage rejection letter correspondence
  • General office duties including:
    • Filing
    • Processing check requests and expense reports
    • Scanning documents and save to Document Management System
    • Generating surveys using Novi Survey tool
    • Help monitor the San Francisco Attorney Recruiting Team shared email box as necessary
    • Enter attorney hire data into the Personnel Action Request System (PARS)
    • Other duties, as assigned

Qualifications & Requirements

QUALIFICATIONS

Education, Work Experience, Skills

A Bachelor’s degree or equivalent experience and at least one year of experience in an office setting is required; experience working for a law firm is preferred.  Technical experience should include MS Word, Excel, and PowerPoint. 

The ideal candidate will be highly organized, possess excellent proofing and communication (oral and written) skills; the ability to multitask in a fast-paced environment; a very strong attention to detail; and a professional demeanor.  Additionally, the ideal candidate will possess strong interpersonal skills with the ability to build relationships among lawyers and staff to achieve results. 

This position requires collaboration with attorneys and staff and the ability to exercise independent judgment. It also requires a significant amount of overtime during our busy summer and fall seasons.

  • This job operates in a professional office environment.
  • This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
