Essential Job Functions

POSITION OVERVIEW

We are seeking an assistant position supporting the PR and marketing communications group of the Firm’s Business Development department. The position will report to the Public Relations - Recognition & Awards Manager and must work effectively as part of a growing Firmwide communications team.

The candidate will be primarily responsible for coordinating and managing any number of administrative tasks, including invoice processing, data/information tracking and annual reporting. The candidate will help ensure that Kirkland communications are consistent with house style and voice. The candidate may also be called upon to assist with various other marketing communications initiatives.

The position will interact with attorneys and administrative staff across practice areas and all of the Firm’s offices. Our international business development team provides seamless service to our attorneys with a focus on quality, innovation and responsiveness.

The ideal candidate must be an exceptional writer, verbal communicator and critical thinker. S/he will possess excellent organizational and project management skills, outstanding editing and proofing skills, the ability to prioritize and multitask in a fast-paced environment, a strong attention to detail and a professional demeanor. Excellent judgment and discretion in handling confidential or sensitive information is required.

A solid command of the Associated Press style guide, grammar and journalistic writing principles, as well as an understanding of persuasive writing for marketing communications, is required. The candidate will be proficient with technology applications including Microsoft Office Suite, primarily Word and Excel. Candidate must present a professional and polished image.

A Bachelor’s degree and 2+ years of experience is required. Law firm and/or professional services experience is strongly preferred.

 

ESSENTIAL FUNCTIONS

  • Manage ongoing reference collections and interview guides for legal directory publishers including Chambers USA, The Legal 500 United States, Benchmark Litigation and IFLR1000, among others.
  • Prepare awards and media feature nominations for The American Lawyer, The National Law Journal, Law360, the Financial Times and other publications.
  • Prepare submissions to legal directory publishers including Chambers USA, The Legal 500 United States, Benchmark Litigation and IFLR1000, among others. Work closely with lead attorneys for directory and awards submissions, gathering relevant experience, references and key statistics; scheduling interviews; and liaising closely with external contacts.
  • Handle any number of administrative tasks relating to directories and awards, including but not limited to: uploading submissions to internal portal, updating attorney biographies and coordinating with directories on the onboarding of new and lateral partners.
  • Lead tracking and monthly/annual reporting across an array of legal directories and publishers.
  • Draft and prepare accolades for the Firm website.
  • Ensure a consistent identity for the Firm’s responses to directories, awards programs and surveys.
  • Create and improve on organizational tools to assist in the overall administration and reporting of directories, awards and surveys responses.
  • Assist with other communications and business development initiatives -- including writing, editing and proofreading, among other things -- on an as-needed basis.
  • Submit invoices for processing and coordinate payment with relevant directories and publications.

Qualifications & Requirements

Education and/or experience required:
 

  • Bachelor’s degree in communications, English, journalism or public relations
  • 2+ years of experience in communications and/or marketing roles, preferably in a law firm or professional services environment
  • A solid command of Microsoft Word and Excel
  • Exceptional organizational and project management skills and a professional demeanor
  • Excellent written and verbal communication skills and impeccable attention to detail
  • Must be able to multitask and juggle competing deadlines
  • Must be comfortable working on a remote team with team members located in various offices across the country
  • A client service mindset and a sense of urgency in answering requests from attorneys, other administrative staff and external contacts
  • Must be flexible and able to tolerate ambiguity in order to respond quickly and positively to shifting demands and opportunities
  • Strong interpersonal skills and excellent communication skills necessary to maintain effective relationships with internal and external contacts
  • Previous experience working with a CRM database preferred.

WORK ENVIRONMENT

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
