Essential Job Functions

Kirkland & Ellis LLP is seeking a dynamic and motivated individual for the role of Specialist in Business Intake & Conflicts Department. This is an exciting opportunity to assist attorneys with their compliance duties in a fast-paced environment while contributing to the success of the Firm. This position offers the opportunity to assist in processing requests to ensure they meet Firm policies and business requirements. The role is critical to identifying potential risk, communicating potential resolution, and securing the necessary approvals as part of the new business process and ongoing obligations to Firm clients. The ideal individual will have a collaborative mindset, an acute attention to detail, work well under pressure, and understand the meaning of exceptional customer service. This position will require critical thinking, strong judgment and decision-making skills to be able to identify the potential issues with bringing on new business to the Firm. Training will be provided. 

The Business Intake Specialist has these core responsibilities:

  • Under the direction of the Business Intake Supervisor and Risk Management leadership, the Specialist works closely with attorneys, the Office of General Counsel and members of the Business Intake & Conflicts Department around the globe to process requests associated with accepting and indexing client engagement documentation and identifying and processing requests to ensure client and Firm data is kept confidential.
  • Subject matter expert on ethical walls and screens, outside counsel guidelines and retention letters, utilizing IntApp’s WallBuilder and Terms applications.
  • An understanding of conflict of interest concepts, Firm business rules, relational databases and grammar rules is required.




  • Respond to inquiries from the Office of the General Counsel, Risk Management leadership and attorneys with accurate information in a timely and professional manner.
  • Establish, maintain and audit confidential and ethical walls utilizing IntApp’s WallBuilder application.  Coordinate notifications and acknowledgements. 
  • Review outside counsel guidelines utilizing IntApp’s Terms application.
  • Oversee collection of required engagement and waiver documentation.  Review executed retention letters and waivers, seeking approval when needed, and index in appropriate documentation repositories.
  • Update and maintain documentation on team SharePoint site.
  • Collaborate with team members on new business projects, with attention to deadlines and time-sensitive issues.
  • Work with Business Intake and Conflicts teams to address time sensitive issues and ad hoc engagement documentation and ethical wall related questions.
  • Serve as public face of Business Intake and Conflicts. 
  • Contribute to process, procedure, and technology improvements in order to reduce risk and improve efficiency.
  • Be available for overtime during evening hours and weekends.
  • Conduct special projects as assigned.
  • Recognizing when additional hours are needed to meet department goals. Working after hours in evening and on weekends as needed. Be available for emergency urgent requests.
  • Teach departmental processes and systems to new employees in Business Intake & Conflicts (often times using telecommunications conferencing).
  • Provide high-level customer service to attorneys in varying capacities (assistance with Risk Management systems, conducting compliance reminders, etc.).
  • Be available for urgent and confidential situations, including evenings and weekends. Be available 24/7 via mobile device.

Qualifications & Requirements

The ideal candidate will possess five years of related experience, including conflicts searching. Excellent oral and written communication skills, customer service orientation, and the ability to analyze complex and often conflicting information are also required.  The Business Intake Specialist should also possess an acute attention to detail, as well as the ability to identify and analyze problems and find solutions. A master’s degree and knowledge of the legal industry and law firms are preferred.  A bachelor’s degree is required.
