Essential Job Functions


The Firm Wide Trial Setup Coordinator is responsible for the coordination and scheduling Trial Setup Specialist team resources for local and remote trials and events.  This position will require the person to travel at a minimum of 80% of the time. This person is required to be available 24/7 as needed to setup and support trial and event teams.  This person needs to be able to work independently or as a team.  This person will often be responsible to assist and support the Trial Setup Support team either in person or remotely.  They will also be a mentor for others on the team and provide training to new or existing team members.  They must be able to resolve technical and logistical issues quickly without always having resources to assist, and often must be able to “think outside of the box”.  This person must have experience in using SharePoint for our Litigation Tracking Database.  This person may also be asked to assist in other IT tasks or projects as needed or time permits. This position requires a minimum of 6 years of experience in setting up remote trials and events. 

The Firm Wide Trial Setup Coordinator must be extremely organized, able to multi-task, delegate assignments, monitor work flow, and operate well under time constraints. Superior written and oral communication skills are required, as are the abilities to cultivate and build relationships with attorneys, paralegals, staff, and vendors.  The person will have to process vendor invoices in a timely manner. They will be responsible in entering time worked/billed in our time reporting system (Carpe Diem).  This person is responsible for allocating and adjusting the team’s workloads appropriately.  This person is also responsible for providing monthly reports of time billed along with monthly metrics showing trial and events worked.  This person will also be responsible for maintaining the team’s playbook. This person should stay on top of new technologies and present new ideas and strategy to leadership.

This position requires an advanced working knowledge of networking, both wired and wireless.  This person will have experience with enterprise phone systems including working knowledge of setup and support of these systems. Understanding remote access technologies including Citrix and remote print functions.  The person must also have strong working knowledge of the advanced functions of the various applications utilized by the Firm’s Essential Job Functions.

  1. Ability to perform remote site surveys, and provide detailed information including drawings and written information.
  2. Work closely with a variety of trial teams to setup remote trial locations, with a variety of hardware and software, including routers, printers, remote login applications, Firm applications, access points, laptop and copiers.
  3. Work as the team leader on location, setup and equipment logistics.
  4. Provide on-site trial support, serving as point of contact for troubleshooting a variety of Kirkland applications and hardware.
  5. Build and maintain strong working relationships with all team members
  6. Lift and move bulky items weighing up to 50 pounds.
  7. Advanced knowledge of Remote Computing, including Citrix and remote support.
  8. Advanced knowledge of iOS setup and troubleshooting.
  9. Knowledge of networks including wireless setup and functionality.
  10. Advanced understanding and knowledge of Voice over IP (VOIP) telephone systems.
  11. Documents new findings/solutions and processes.
  12. Adheres to use of call ticketing system for each and every incident (e.g. request, issues, etc.).
  13. Understands and follows ticket ownership guidelines and system usage.
  14. Solid ability to research information through internal and external sources.
  15. Adheres to written procedures, checklists and all quality control associated with project rollouts.
  16. Participates in on-call and overtime on an as needed basis.

Qualifications & Requirements


  • Knowledge of desktop computing environment and troubleshooting techniques of hardware and software issues.
  • Knowledge and the ability to support Microsoft operating system, including networking component, hardware, peripheral devices.
  • Knowledge and experience in conference center environment and technologies.
