Essential Job Functions

The Executive Assistant (EA) who will provide administrative support for the Chief Financial Officer. This is a highly visible position requiring well-developed organizational and communication skills. The EA should be able to anticipate the CFO’s needs and exercise sound judgment, tact, diplomacy, integrity, and professionalism in all interactions. Acting on their own initiative and direction, the EA will handle a wide range of administrative and executive support related tasks and interact with personnel at all levels in a fast paced environment, sometimes under pressure.

  • Manage the CFO’s calendar and collaborating effectively with others to coordinate scheduling needs; plan and schedule meetings along with any necessary logistics while effectively communicating changes
  • Research, prioritize, and follow up on incoming requests and issues addressed to the CFO, including those of sensitive or confidential nature; determine appropriate course of action, referral, or response
  • Coordinate and prepare meeting materials for various Committee Meetings, requiring a high level of proficiency in Excel, PowerPoint, and other MS Office tools
  • Analyze and troubleshoot minor issues using independent and sound judgment, and escalating as necessary.
  • Assist with on-going special projects; work associated with special projects will vary and will be assigned as the individual demonstrates skills to handle additional responsibilities
  • Coordinate domestic and international travel arrangements and reservations in accordance with the Firm’s Travel Policy
  • Prepare expense reports and submit invoices for payment into Chrome River
  • Compose, type and proofread correspondence, memos, and emails as requested
  • Handle clerical duties of answering incoming calls as requested, filing, copying, scanning and opening and routing mail

Other duties and projects as assigned by the CFO.


This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.

Qualifications & Requirements

  • A Bachelor of Arts/Science (BA/BS) or equivalent experience is required
  • The ability to establish rapport quickly with others and maintain a professional demeanor while under pressure is critical
  • Experience supporting a senior level executive is helpful, however a candidate without this experience would be considered if they are a strong match to other qualifications
  • Ability to pick up new concepts quickly and strong problem solving and creative thinking skills
  • Candidates should be self-motivated, require minimal supervision, and exercise good judgement in a variety of situations
  • Respect for confidentiality and discretion to properly handle sensitive information
  • High technology proficiency - a strong working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook are required; the ability to adapt easily to new software and other web-based tools is critical
  • The individual should be flexible in order to handle time sensitive requests and prioritize assignments to meet deadlines, including ability to work overtime as required
  • A desire to learn new skills and to expand their skills over time is necessary
