Essential Job Functions

POSITION OVERVIEW

The Director of Administration (DOA) is responsible for the efficient and effective administrative operation of the Texas offices and for ensuring delivery of exemplary client service from all staff functions.  This individual will manage the planning, business and administration of the Texas offices and oversee the operations of the Houston and Dallas offices. The DOA develops strategic plans for the operational needs of the office and anticipates and provides support systems to meet time-sensitive attorney and client expectations.  This position drives change and innovation, encourages and fosters a culture of process improvements and empowerment and aims to continuously enhance the overall effectiveness of the operation. The DOA is in a critical leadership role and will act as a responsible advocate for office concerns and needs.  The DOA leads by example, is oftentimes first and/or last point of contact for follow up, follow through and closing of the communication loop as necessary. The DOA is responsible for setting expectation and maintaining and exceeding standards in line with our cultural values of Entrepreneurship, Innovation, Excellence and our commitment to quality and customer service.

Additionally, the DOA is a member of the FW team of local office Administrators who work together on short and long-term project teams and task-forces focused on Firmwide initiatives.

The DOA will report directly to the Chief Administrative Officer, with accountability to the local Operations Committee and various stakeholders. The individual will manage a team of local functional leads and will collaborate with the Firmwide functional support teams across all departments.

This individual is expected to be an exceptional communicator and relationship builder as they will collaborate frequently with senior leaders across Firm offices.

Strategic Leadership

The DOA provides overall strategic and tactical leadership to ensure all office functions and staff are aligned in providing seamless client service to all local personnel, and serve to implement both local and Firmwide initiatives and objectives.

Operational Leadership

The DOA is responsible for creating a culture of operational excellence, knowledge sharing and accountability in managing business processes and activities in support of internal and external clients.  Additionally, the DOA will maintain best-in-class service levels, applying innovative and agile process improvement and change management practices.  

Financial Accountability

The DOA develops staffing plans and budgets for the office consistent with Firm objectives and operational requirements and ensures monthly operational expense performance meet budgets. They should contribute to cost-effective management of the office.

Communication Leadership

The DOA conducts periodic office meetings to ensure all staff is kept informed of significant office and Firmwide information and conducts meetings with various Committees, as well as Partners and Associates as appropriate. This individual will meet regularly with key staff to communicate business goals and objectives and translates the vision and directive of the firm into actionable goals.

Performance Management

In collaboration with the Firmwide functional leaders, the DOA provides direction to the Management Team through effective goal setting, coaching, reviews, and development planning.

Space Planning

The DOA is responsible for recommendations for space, facilities and equipment needs; provides leadership and expertise in all space planning and construction projects in collaboration with the Firm’s real estate department and functional leads; coordinates with stakeholders to promote client service objectives and ensures minimal disruption to client service operations.

Business Continuity/Crisis Management

The DOA  provides proactive leadership in the event of a crisis, whether in the form of a natural disaster, or any other situation that potentially endangers the health, safety and well-being of local personnel and/or the integrity of the local operation. The DOA will work closely with the Firm’s leadership, local Operations Committee, Firmwide security and/or any other key department as necessary to assess the situation, establish goals, gather resources and define action plans. The DOA is responsible for coordinating open and transparent communication with the different audiences to ensure overall safety and the office’s operation remains intact and runs as smoothly as possible.

Overall Skills

The ideal candidate has solid business acumen, strong operational skills, and a track record for delivering results. He/she has strong leadership experience developing a management team and demonstrated staff and project management skills.  The candidate should have past success in building relationships and trust with partners and staff at all levels. Operational excellence, client service and cost management are a must.  He/she must be able to balance competing priorities in a time-sensitive environment. The ideal candidate is team-oriented, proactive and able to change direction quickly to meet the dynamic needs of the office and the Firm as well as its clients.  He/she has experience in effectively leading change.

Qualifications & Requirements

Education, Work Experience, Skills

  • Minimum of 5 years of management experience in a legal or professional services organization is required.
  • Bachelor’s Degree
  • Excellent presentation and communication skills are critical
