Essential Job Functions

The Business Intake & Conflicts Supervisor directly oversees the duties of the Business Intake & Conflicts New York team and is responsible for supervising the day-to-day activities of the team. This includes the review and processing of requests for new clients and matters and revisions to existing clients and matters using the Firm’s automated business intake and conflicts of interest searching systems. The Business Intake & Conflicts Supervisor functions as a working supervisor and is expected to perform tasks assigned to and supervise the work of the New York Business Intake & Conflicts team.

The Business Intake & Conflicts Supervisor has these core responsibilities:

  • Under the direction of the Office of the General Counsel and Risk Management leadership, ensure the activities of the Business Intake & Conflicts New York team align with the Firm’s risk management policies and goals, utilize industry best practices, and assist the Firm attorneys in adhering to the business rules set forth by the Firm.
  • Maintain high standard for customer service and quality control.
  • Deliver prompt results that take into account the unique needs of the attorneys and staff.
  • Oversee issues related to staff hiring, personnel coaching and improvement, and termination.
  • Coordinate and deliver risk management training programs for staff, including quality assurance protocols.
  • Review complicated and sensitive business intake and conflicts issues and escalate appropriately for resolution.
  • Work closely with the leaders from the Business Intake and Conflicts teams to ensure coordination of systems, workflows and outcomes.
  • Develop strong working relationships with attorneys, legal support staff, and staff in other Firm administrative departments.

ESSENTIAL JOB FUNCTIONS

  • Assist attorneys and staff in the initiation of potential new business requests and modifications to existing clients and matters through the Firm’s automated business intake system.
  • Consult with attorneys and Business Intake and Conflicts teams as necessary to receive guidance on issues discovered during the conflicts search and analysis and the business intake processes.
  • Supervise and participate in the review of all communications sent to the dedicated team via email to the department mailbox.  Work closely with the other Business Intake Supervisors and Manager, as team members will dotted-line report to a respective Business Intake Supervisor of that area of the department.
  • Assist attorneys and staff in the identification, clearance and resolution of conflicts of interest; consult with attorneys and the Business Intake and Conflicts Department, as necessary, to receive guidance on the identification, clearance and resolution of conflicts of interest and business related issues discovered during the search and analysis process.

Supervision and Work Coordination

  • Coordinate the assignment of, business intake and conflicts requests among the members of the team, and monitor for accuracy and timely completion.
  • Coordinate and deliver risk management training to external customers (e.g. New York attorneys, secretaries, and administrative staff) on the business rules, applications, processes, and policies associated with conflicts of interest and business intake.
  • Utilize process and procedure documentation related to the Business Intake and Conflicts as provided by the Business Intake and Conflicts Department.
  • Participate in and supervise tasks associated with projects assigned by department management.   
  • Recommend technology and process improvements.
  • Supervise the performance of the Business Intake & Conflicts team, and provide feedback on performance improvement needs, annual performance, or other issues to department management.  Provide direct coaching and feedback to personnel as directed.
  • In conjunction with the Business Intake Supervisors, Conflicts Supervisors and management, identify staffing needs for the New York team, including new positions, new hires, and terminations.
  • Be available for urgent and confidential situations, including evenings and weekends. Be available 24/7 via mobile device.
  • Work with Business Intake and Conflicts department management to deliver quarterly, annual and ad hoc, performance, management, statistical, and other reports.
  • Other duties as assigned.

Qualifications & Requirements

The ideal candidate will possess five to seven years of related experience including conflicts searching or similar process management/risk management experience required.  Must have the ability to prioritize and handle multiple projects at once while meeting deadlines and working in a fast paced environment with minimal supervision. Candidate must have strong organizational skills; must possess exceptional writing and oral communication skills; have strict attention to detail; and possess strong interpersonal skills. Four year college degree required. Advanced degree, J.D. or M.B.A. preferred.  Studies in areas directly applicable to the duties described above (e.g. business administration, project management, management, paralegal/legal assistant, finance) desirable but not required depending upon other professional and educational experience. Previous supervisory experience and demonstrated leadership abilities is a plus.
