Essential Job Functions

We are looking for a versatile proposals assistant with strong project management skills and an eye for detail to join our growing RFP team within the Firm’s Business Development Department. It’s an exciting time to join a collaborative team as we continue to grow and pursue new opportunities.

The assistant will bring outstanding writing, editing and grammar skills, and the ability to multitask and juggle competing deadlines. Exceptional organizational and project management skills will be important.

The assistant will support projects directed by members of the RFP team, and will report to the Firmwide RFP Manager.

The assistant will also communicate and collaborate daily with nearly 125 diverse problem-solvers and advisers dedicated to the broader business development, marketing and communications efforts of the Firm. Our international business development team provides seamless service to our attorneys with a focus on quality, innovation and responsiveness.

ESSENTIAL FUNCTIONS

  • Assist with tasks related to producing the Firm’s RFP, RFI and RFQ responses, as outlined below.
  • Closely liaise with partners, associates, knowledge managers and other business development team members to draft and tailor the response.
  • Assist with RFP document structuring via multiple platforms, including Microsoft Word, PowerPoint, Excel and client online portals.
  • Handle RFP project management tasks, such as keeping multiple attorneys and practice group teams organized and ensuring all teams meet provided deadlines.
  • Draft and edit content by gathering collateral from internal databases and numerous other Firm departments.
  • Manage various RFP databases.
  • Support extensive tracking and reporting via Microsoft Excel, SharePoint and InterAction (CRM).
  • Assist with fee estimate reporting projects.
  • Work closely with the Firm’s finance department to gather billing rates, rate discounts and other fee-related client inquiries.

OTHER FUNCTIONS

  • Assist with other marketing communication and business development initiatives.

Qualifications & Requirements

Education, Work Experience, Skills

  • Bachelor’s degree with one to three years of experience in communications and/or marketing roles. Communications, English, journalism, marketing, business or history degrees are preferred.
  • Strong writing skills, a solid command of the Associated Press style guide, grammar and journalistic writing principles is required.
  • Exceptional organizational and project management skills and a professional demeanor.
  • Excellent written and verbal communication skills and a keen attention to detail and accuracy.
  • Must be able to operate professionally in high-pressure situations and prioritize multiple diverse projects under strict deadlines.
  • A client service mindset and a sense of urgency in answering requests from attorneys and administrative staff.
  • Ability to work overtime as needed — occasional nights, weekends and holidays.
  • Must be flexible and able to tolerate ambiguity in order to respond quickly and positively to shifting demands and opportunities.
  • Strong interpersonal skills and excellent communication skills necessary to maintain effective relationships with internal team and attorneys.
  • Ability to problem solve and think creatively to reach resolutions.
  • Proficient in research with the ability to validate information.
  • Law firm or professional services experience is a plus.

Technologies/Software

  • The candidate must engage with a number of different technology applications to produce a high-end and professional work product, and must possess a solid command of the Microsoft Office Suite. Experience with CRM systems is preferred.
