Essential Job Functions

The Senior Real Estate Analyst is an important role within the real estate department, working closely with the Director of Real Estate and other members of the Finance team to assist in defining and leading processes development and portfolio solutions.  The Senior Analyst will be an expert in utilizing real estate software technologies that support lease administration.  This is a unique opportunity to have a significant impact on how the firm views and manages real estate with the focus of establishing processes, practices and standards.  This job also will provide strategic oversight to other real estate systems to create utilization reports, such as CAFM and spatial scheduling or reservation systems.  Please note that no residential real estate experience will be considered relevant for this role.

ESSENTIAL FUNCTIONS

  • Provide leadership for data management and insights of Kirkland’s real estate portfolio, including tracking lease information, creating dashboards, and performing analyses
  • Assist with and develop key metrics and management reports, as well as financial modeling for various real estate scenarios
  • Implement the initial set up of all new leases, as well as updates for lease restructures, to appropriately account for all payment obligations included in the lease
  • Review monthly fixed payments in lease system and complete thorough desktop audits and reviews of all lease-related invoices and expenses to evaluate landlord compliance to applicable leases, and verify the accuracy of financial information
  • Interpret lease language, abstract leases and translate information to summarize payment and other obligations within lease database
  • Support lease waterfall tracking including lease renewal/cancelation notice dates, lease expiration dates, and other lease triggers
  • Manage all updates to lease dates and general terms, including lease modifications, extensions
  • Manage and implement changes to lease administration system
  • Collaborate and problem-solve with stakeholders from departments, including, but not exclusive to Finance, IT and Facilities
  • Manage the external auditor relationship, auditor findings, and pursuit of claims
  • Create data standards and establish data quality requirements for real estate systems
  • Provide leadership in the selection process and implementation for real estate software tools, developing scopes of work for real estate software vendors to support processes, includes lease administration, CAFM systems and spatial reservation systems
  • Work on special projects and play an integral part in improving systems, processes, and creating efficiencies to enhance the Real Estate management process for firm

Qualifications & Requirements

  • Bachelor’s Degree, finance preferred, and minimum 7 years of experience in corporate real estate and/or lease administration
  • Corporate Real Estate portfolio-related experience required
  • Experience with review of real estate lease documents and using lease administration platforms
  • Understanding of space utilization
  • Well-developed financial modeling and analytical skills
  • Demonstrated ability and willingness to perform multi-functional tasks and deal effectively with a wide range of individuals and work in a team environment
  • Self-motivated, team player, strong work ethic who takes ownership of position
  • Excellent interpersonal and communications skills, both written and verbal
  • Excellent administrative, organizational and time management skills
  • Ability to initiate process improvements

Technologies/Software

  • High proficiency in MS Office Suite
  • Extensive knowledge of real estate software tools, such as CAFM and spatial scheduling platforms
