Essential Job Functions

POSITION OVERVIEW

The Kirkland & Ellis General Services Assistant provides exceptional customer service to attorneys and staff in its Houston office. The General Services Assistant will perform a variety of functions to support the delivery of superior client service and efficient operation of the office. 

ESSENTIAL FUNCTIONS (This list is not exhaustive and may be supplemented and changed as necessary.)

  • Sorting and distributing mail, stocking office supplies, and receiving courier packages at dock.
  • Assisting with office moves, equipment delivery, box moves, and new hire set-up.
  • Maintaining common areas and performing routine clean-up within the office space.
  • Prepares invoices for approval and payment; reconciles invoices for accounts payable.
  • Prepares monthly reports.
  • Provides pro-active and responsive customer service in compliance with the General Services Department Service Standards and Operating Procedures.
  • Works cooperatively with other General Services Department staff and other firm personnel.
  • Sorts and delivers incoming mail in a timely and accurate manner.
  • Distributes and pick-ups mail within the office on a set schedule; delivers internal packages.
  • Arranges for outside courier services; prepares inter-office pouches.
  • Monitors postage meter and monitors mail, courier and fax supplies; alerts supervisor if postage or supplies need replenishing.

OTHER FUNCTIONS (This list is not exhaustive and may be supplemented and changed as necessary.)

  • Any other functions/duties as assigned by management
  • Assists supervisor with Purchasing tasks as necessary
  • Provide back-up/ over flow support to the conference center and reprographics teams as necessary

Qualifications & Requirements

  • The ideal candidate will demonstrate excellent organizational skills, commitment to quality, attention to detail, and the ability to complete multiple tasks under pressure.
  • Must have a professional demeanor and be able to communicate effectively both verbally and in writing.
  • Requires the ability to lift 50 pounds and stand and/or walk for extended periods. 
  • Previous law firm copying/scanning/printing experience or knowledge of legal document processing needs is strongly preferred.
  • Ability to work overtime is required.
  • Associates degree or post-high school technical training preferred; high school diploma required.

WORK ENVIRONMENT

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
