Essential Job Functions
Qualified candidate needs to provide administrative support to a member of the Firm’s executive team. The ideal candidate will be experienced in handling a wide range of administrative and project related tasks. Candidate must be able to handle high pressure situations and not be easily intimidated by the demands of the partner or the position. With great attention to detail, the Assistant will need to multi-task and maintain a high level of organization to support the busy schedule of this team. The candidate must be exceedingly well organized and flexible. Administrative responsibilities include, but are not limited to heavy coordination of logistical details including making extensive travel arrangements, scheduling and organizing meetings and handling multiple changes regarding same, monitoring and keep partner abreast of email messages, draft responses to email communications and/or respond on behalf of the partner, preparing and tracking expenses, interfacing with partners and senior staff both in person and on the telephone, typing routine correspondence, filing and other general administrative duties as assigned. Project responsibilities include basic report generation and oversight, project plan coordination, and other project-related duties as assigned.
Qualifications & Requirements
Ideal candidate will have 5+ years administrative experience, preferably in a law firm or other fast-paced environment. The ability to interact with partners and senior management staff in a fast paced environment, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. A quick thinker with a high level of interpersonal skills to handle sensitive and highly confidential situations, excellent communication and organizational skills, a customer service orientation, a proactive work ethic, the ability to anticipate needs, attention to detail. Excellent written and verbal communication skills and attention to detail are a must. Must be proficient in MS Word and Excel 2016 and type a minimum of 55+ wpm.
