Essential Job Functions

  • Oversee daily office and building repairs, maintenance, and cleaning to ensure that office space is well maintained. Maintain high level of service, with a consistent goal of 100% satisfaction.
  • Supervise in-house staff of facilities coordinators and assistants. Prepare performance feedback, goal setting, and training opportunities annually.
  • Liaison between Kirkland and building engineers; coordinate and schedule building services.
  • Manage outside maintenance, mechanical, and construction vendors who perform services for Kirkland & Ellis.
  • Coordinate ongoing maintenance projects, e.g. carpet replacement, painting - scheduled nights and weekends to minimize disruption to attorneys and staff.
  • Perform hands on repairs, when needed.
  • Manage vendor list, maintenance agreements, and service contracts. Ensure that preventative maintenance programs are scheduled and vendors are meeting the terms of their agreements. Negotiate renewals and/or work with Strategic Sourcing to identify alternate providers when necessary.
  • Assist with internal office moves. Available on nights and weekends to meet with vendors and staff, when necessary.
  • Involved in space planning, implementation and completion of newly created offices on existing floors in anticipation of office moves and new hires.
  • Responsible for budgeting and forecasting activities - both department operational expenses and Capital budget projects. Track spend, identify and report on variances. 
  • Manage furniture inventory, identifying opportunities to repurpose product.
  • Work with Human Resources and facilities coordinators to implement ergonomic solutions.
  • Attend and participate in weekly construction and coordination meetings with general contractor and architects in connection with the design, layout and construction of office space on new floors in the building that Kirkland will take over.
  • Work with local office facilities coordinator responsible for physical security in Chicago including security badge replacement, office/desk keys, access levels, life safety equipment, and programs.

Qualifications & Requirements

The qualified candidate will have 5+ years of experience as a project manager or facilities supervisor/manager preferably in a professional services organization. The successful candidate must have demonstrated experience and success managing a facilities team that can support the various tasks required to maintain a professional services environment. Candidates must be able to climb a ladder and lift a minimum of 50 lbs. The successful candidate must possess a thorough knowledge of building repairs and maintenance, e.g. HVAC, carpentry, mechanical and electrical systems, plumbing, painting, keys/locks, physical security, ergonomics.  The ideal candidate is able to work effectively in a fast-paced environment, with constantly shifting priorities and under time constraints.  Excellent oral and written communication skills are required as well as availability to work nights and weekends, as required.  College degree or equivalent work experience will be considered.
