Essential Job Functions

Calendar Court Services (“CCS”) manages the Firm’s calendar of upcoming due dates for all currently pending cases in various courts, assists in filing pleadings in both paper and electronic formats, and is a resource for information regarding state and federal court rules.  The major focus and mission of the CCS Department is to provide accurate and efficient customer service to the Firm and to protect the rights of Firm clients in court-related matters.

The Chicago office is seeking a Calendar Court Services Specialist who will work closely with attorneys and all CCS staff teams to provide client support via expertise in calendaring/docketing, court rules and procedures, case research, legal procedures, and risk management compliance issues related to calendaring and court functions.  Coordinates administrative aspects of the Calendar/Court Services Department under the supervision of the Chicago Calendar Court Services Manager and Supervisor. Experience with state and federal court filings (manually and electronically), nationwide document retrieval, court rules and filing procedures is preferred. Must exhibit a high level of customer service orientation towards attorneys, support staff, and other Risk Management departments. Responsible for ensuring that the Firm’s central calendar of court-driven dates is updated and verified daily. Assists in the collection and verification of bar registration information. Must have strong service orientation, excellent oral and written communication skills, organizational skills, intellectual curiosity and be pro-active in improving business processes and use Firm resources efficiently.

Court Services/Court Information Development and Dissemination

  • Ability to do conduct research, retrieve pertinent information on litigants, court cases, dockets and judge information from all court-related databases (i.e., PACER, Westlaw Courtexpress, Bloomberg Law, Pacer Pro,  CourtLink and AccessPlus) and other online sources with related ability to coach others in how to use these databases effectively.
  • Develop and maintain rapport with local courts, agencies and judges’ office personnel in order to create credible sources of information and processes.
  • Monitor, analyze and document the possible impact of changes in court rules specifically as they relate to local filings and courts, and communicate the impact verbally and in written form.
  • Compile, maintain and disseminate biographical and practice information on judges using appropriate information resources, including written communications.
  • Develop and maintain rapport with information retrieval service vendors and monitor work performed and fees charged by them to ensure that client needs are met in a cost-effective and timely fashion.
  • Required to have the ability to perform local, state and federal court filings for the firm under the direction and supervision of the department supervisor.

Court Services/Attorney Information and Compliance

  • Assist attorneys with court admission efforts by obtaining Certificates of Good Standing and providing information on pro hac vice admissions in various courts.
  • Assist Risk Management Compliance, Human Resources and Attorney Recruiting with compilation of pro hac vice bar registration information on PeopleSoft database and KE Bar.

Calendar Services

  • Extract, calculate, enter and update due dates, case and docket information on CompuLaw Vision calendaring database through review of court mail, departmental e-mailbox and assignment from department supervisor.
  • Monitor and apply court rules and calendaring protocols for courts across the country.
  • Preparation of various reports to notify attorneys of upcoming deadlines and case status.

Risk Management

  • General familiarity with best practices regarding docketing, calendaring and record keeping as they relate to risk management in the legal environment.
  • General knowledge of various practice areas within the firm such as litigation and corporate in order to assure their calendaring needs are identified and met to comply with risk management needs.
  • Ability to handle individuals who are under stress with courtesy, tact and patience.
  • Ability to quickly learn new software programs in-depth. General knowledge of Microsoft Office programs.
  • Exhibit professional work ethic on a daily basis and willingness to provide back-up, assistance and collaboration with other offices required.

Qualifications & Requirements

The CCS Specialist will possess 3-5 years of prior experience in the Calendar Court Services/Docket Department of a national law firm. CompuLaw database expertise preferred. A four-year college degree is required in an area applicable to the duties described above (e.g., legal studies, business, or paralegal studies), but other professional experience or education will be considered.

The Chicago CCS Specialist must have:

  • Extensive knowledge of federal, state and local court rules.
  • A strong service orientation.
  • Excellent oral and written communication skills.
  • Discernment and awareness of when to escalate problems.
  • Organizational skills.
  • Intellectual curiosity.
  • The ability to prioritize and handle multiple projects at once, meet required deadlines, and work in a fast-paced environment with minimal supervision.
  • Strict attention to detail and strong interpersonal skills.
