Essential Job Functions

The Finance team is seeking an Administrative Coordinator who will provide administrative support for the Director of Taxes, the Controller, and other members of the finance management team. Acting on his/her own initiative and direction, this individual will handle a wide range of administrative and executive support related tasks and interact with personnel at all levels in a fast paced environment. The candidate should also be comfortable collaborating with the other finance executive/administrative assistants to ensure coverage is provided to other senior finance department personnel, including the CFO. 


  • Maintain calendars, schedule meetings and arrange necessary logistics while effectively communicating subsequent changes.
  • Facilitate communication ensuring information flow to and from the department, and assist in determining items requiring priority attention.
  • Prepare expense reports and check requests; coordinate domestic and international travel arrangements in accordance with the Firm’s Travel Policy.
  • Compose, type and proofread correspondence, memos, and emails.
  • Analyze and troubleshoot departmental issues using independent and sound judgment, and escalating as necessary.
  • Track and maintain internal reports and follow-up action points.
  • Develop and maintain materials for presentations and meetings and effectively gather and coordinate updates from across departments.
  • Handle clerical duties of answering incoming calls as requested, filing, copying, scanning and opening and routing mail.
  • Assist with on-going special projects; work associated with special projects will vary and will be assigned as the individual demonstrates skills to handle additional responsibilities

Qualifications & Requirements

  • A minimum of 3 years of experience in a law firm, finance/accounting department, or professional services firm is required; work experience supporting a senior level executive in a professional services organization is desired.
  • A Bachelor of Arts/Science (BA/BS) or equivalent experience is desired.
  • Possess an ability to anticipate the executive’s needs and exercise sound judgement, tact, diplomacy, integrity, and professionalism in all interactions.
  • The ideal candidate will be self-motivated, require minimal supervision and maintain strict confidentiality with sensitive information.
  • A strong working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook are required; the ability to adapt easily to new software and other web-based tools is critical.
  • The individual should be flexible in order to handle time sensitive requests, including periodic needs outside of standard working hours.
  • Expectation of a desire to develop new skills and to expand their contribution to the finance team over time.
