Essential Job Functions

POSITION OVERVIEW

The Digital Services Specialist serves as the digital image and mailroom expert within the General Services department. The Specialist is responsible for providing staff with a wide variety of digital document processing services and mail-related requests.  Under minimal supervision, the Specialist performs complex tasks involving the use of document scanners, printing equipment, and media duplicators.  The Specialist will have a strong knowledge of mailroom and delivery practices as well as experience in a combined mailroom and digital production copy/print environment.  Strong typing skills are required as are solid overall computer skills including extensive working knowledge of the Microsoft Office Suite, internet and web-based applications, messaging applications, and the Microsoft operating system. 

The Specialist must demonstrate leadership skills and the ability to achieve results by pulling together appropriate internal resources and external vendors.  The duties and tasks required in this position reflect substantial variety and complexity; assignments are broad and often require originality and ingenuity.  The ability to solve practical problems and deal with a range of concrete variables in situations where only limited standardization exists is essential.  The position requires creative problem-solving skills, outstanding judgment and excellent decision making to meet and exceed customer expectations.

In addition to the technical skills and experience required, the Specialist must have very strong communication skills, both written and oral, and be extremely responsive, customer service oriented, committed to quality and deadline driven.  Also required is strong attention to detail, outstanding organizational skill, a high degree of concentration, patience, professionalism and the ability to multi-task, all within a fast-paced, rapidly expanding and evolving work environment.  A motivated self-starter with the demonstrated ability to work independently along with the ability to collaborate on projects and participate in a team-oriented environment is an ideal candidate for this position.

ESSENTIAL FUNCTIONS

Customer Service

  • Ensure the highest level of customer care
  • Assist walk-in customers, answer incoming phone calls and monitor the department email account
  • Coordinate internal resources or vendor services as needed to meet customer needs
  • General Production Tasks
  • Support financial results by minimizing waste and rework, utilizing equipment and supplies in a cost-effective manner

Mailroom

  • Tracks courier and accountable items (FedEx, UPS, Certified Mail, etc.).
  • Researches and routes unidentified and generic mail.
  • Receives, logs, delivers and tracks messenger items.
  • Coordinates and processes customized packaging and other customer special requests.

Copy/Printing

  • Perform complex print operations and print processing tasks
  • Operate production printers, scanners, and copiers
  • Print application (.doc, .xls, .wpd, .mbd, .mpp, .vsd, .htm) and image (.pdf, .tif, .jpg)  files sent via email or from media/storage
  • Convert application files to PDF image files

Clerical and Other Duties

  • Responsible for creating and entering all Digital Services Job Tickets
  • Clean and stock department supplies as necessary
  • Provide project and task leadership to less experienced staff
  • Record accurate billing information for all completed work on a daily basis
  • Perform duties and special requests as assigned by management

Qualifications & Requirements

Education, Work Experience, Skills

  • State minimum required and preferred qualifications needed to effectively perform the job.
  • Education. Associates degree or post-High school technical training preferred; High school diploma required
  • Minimum of one (3) year direct customer service experience.
  • Computer literacy including technical familiarity with printing, imaging, network systems, internet/intranet issues, Microsoft operating systems, and applications
  • Effectively communicate both verbally and in written format with customers and Firm staff
  • Ability to lift and/or carry up to 40 pounds and spend long periods of time standing.
  • Ability to work overtime as required by workload, staffing and customer need
  • Required: Minimum necessary to do the job. Duties cannot be performed without this knowledge, skill, or ability.
