Essential Job Functions

The Practice Services Assistant supports the Practice Assistant Manager and assists with the daily functions of the Practice Assistant Team and TDS services area including: coordinating daily backup coverage needs, reviewing weekly timesheets, and approving time-off requests.  Additionally, this role assists with tasks in connection with recruiting and the new-hire process, coordinating meeting communications and logistics, and a variety of other duties. 

  • Coordinate daily backup coverage for Practice Assistant Team; communicate coverage with attorneys and Practice Assistants when Practice Assistants are out of the office.  Update backup lists as needed. 
  • Monitor messages left on absence line and coordinate coverage accordingly. 
  • Coordinate Practice Assistant support for visiting guests. 
  • Review timecards and requests for time off for Practice Assistant Team.
  • Inform Practice Assistant Manager of after-hours work requests and potential overtime issues. 
  • Assist Practice Assistant Manager with attorney/Practice Assistant assignment changes. 
  • Coordinate a variety of meetings and programs on a regular basis. 
  • Assist the Practice Assistant Manager with the hiring process including hiring, orientating, training, and follow-up meetings. 

Qualifications & Requirements

Qualified candidates must have a minimum of two (2) years of Administrative Assistant experience with some coordination experience. Must possess a proven record of outstanding customer service, creative problem-solving skills and the ability to work in a team environment.  Strong attention to detail, excellent communication and organizational skills are essential along with the ability to remain calm in high-pressure situations. Strong knowledge of Microsoft Office, including Word, Outlook, and Excel is required. A Bachelor’s degree is preferred.
