Essential Job Functions

This individual will be responsible for a wide range of firm travel related administrative tasks, including support to the Firmwide Director, Travel and Meetings/Events with the planning and delivery of internal and external meetings as well as providing administrative support for the Firm’s travel programs.

  • Manage K&E Connect travel website
    • Assist with website transformation, including reorganization, editing of content and updating information adding real time travel information
  • Assist with administration of internal travel resources, including:
    • Update DEEM (Kirkland travel booking platform) contact information and access for new employees
    • Track firm internal airline usage and reporting
    • Generate hotel contracts for K&E business travel program
  • Maintain database to develop firm master events/meetings calendar
  • Provide support, especially data management, with all aspects of planning and execution of All Partner and Share Partner meetings
    • Manage internal information, Excel spreadsheets , including tracking of RSVPs and running all meeting related reports as needed
    • Coordinate meeting collateral, including signage, attendee lists, name tags, and other materials
    • Coordinate meeting communications via website tool
    • Assist with final billing reconciliation
  • General support with expense reports, scheduling for Director and Specialists in Chicago, Houston and London.

Qualifications & Requirements

  • A Bachelor’s degree is required in addition to three years of relevant experience.  Law firm or professional services experience is a plus.
  • Strong analytical and problem solving skill; strong attention to detail and organizational skills are critical.
  • Excellent written and verbal communication skills, with the ability to draft complex communications that are succinct, clear and error-free
  • Outstanding interpersonal skills with ability to interact with personnel at all level; the flexibility to adjust to changing priorities and demands
  • The ability to thrive in a fast-paced environment and work under pressure with a positive attitude and calm demeanor
  • Candidate may need to travel for events and work overtime as needed
  • The ability to adapt easily to new software and other web-based tools


  • MS Office with emphasis on Word, Excel, and Outlook
  • Familiarity with Travel/Meetings software and web-based tools
