Essential Job Functions

  • Extensive research and review of department billing for clients
  • Assist with organization of department documents and training materials
  • Research and compile department statistics regarding staffing and billing
  • Create complex graphs and charts utilizing both Excel and PowerPoint
  • Assist with quality control of department work product
  • Assist Supervisor with training documentation and materials
  • Assist with new hire training schedules and orientation
  • Perform complex administrative activities which may be highly confidential and sensitive, and require discretion and diplomacy
  • Assist with work intake and department work requests as needed
  • Assist with the following technical Document Services requests as needed:
    • Revise, format and blackline documents
    • Convert documents from various formats to Word, Excel, PowerPoint, Visio and format according to the firm’s standard format
    • Insert/revise Table of Authorities
    • Format large SEC documents, including financials
    • Execute defined terms checks and automate cross-referencing in large briefs
    • Download, organize and print data room documents
    • Assist with answering Help Desk calls
    • Available to work overtime, as needed

Qualifications & Requirements

The New York office of Kirkland & Ellis LLP is seeking a Document Services Assistant for the second shift.  The qualified candidate will have 3+ years of experience within the legal and/or financial services sectors.  Expert knowledge of Microsoft Word, Excel, PowerPoint and Outlook is required, as well as a minimum typing speed of 60 wpm.  The Document Services Assistant provides administrative support to the Manager and department, including the following: updating schedules and reviewing absences in PeopleSoft; researching and approving billing using the Firm’s intake software; processing expense reports; scheduling department meetings; researching and compiling department statistics; creating and revising complex Excel spreadsheets; organizing and converting this data into charts and graphs for presentations and memos; creation of PowerPoint flowcharts and presentations; compiling data utilized for staffing decisions; tracking and monitoring department overtime; assisting with the quality control of department work product; and assisting with the documentation and materials utilized in the department training program.

This position requires a professional, organized self-starter with great customer service skills and outstanding oral and written communication skills.  Attention to detail, the ability to adapt to advanced technology and emerging software, and commitment to department and organizational goals is necessary within our fast-paced legal environment.  A college degree is preferred; equivalent work experience will be considered. 

The shift for this position is Monday - Friday, 4:00 p.m. - 12:00 a.m.
