Essential Job Functions

The Contract Administrator will be responsible for tracking, analyzing, and reporting on vendor agreement information to proactively manage the firm's contractual obligations.  This role will assist with due diligence and market research related to vendors who provide goods and services to the Firm, and will support the implementation of the Firm’s contract repository.   

  • Monitor the firm’s vendor agreements through full execution, distribute approved documents both internally and externally, and support the setup of new vendors.
  • Assist in the preparation of contracting documents; review, process, track and store these documents, and ensure compliance with Firm policies. 
  • Prepare and disseminate information regarding contract status, upcoming renewal notifications, and interpretation of existing agreements.
  • Serve as contracting liaison with external points of contact and internal staff; respond to internal requests for contract-related information and data.
  • Coordinate the implementation of contract repository; maintain accurate contract database and files; tag key contract attributes during upload into the repository system.
  • Provide regular and ad hoc reporting on contract activity, vendor due diligence, and various criteria, as needed.

Qualifications & Requirements

  • A Bachelor’s degree is required in addition to two or more years of relevant experience; paralegal certification and law firm or professional services experience is a plus.
  • Strong analytical, problem solving, and project management skills; strong attention to detail and organizational skills are critical.
  • Proven ability to adapt easily to new software and other web-based tools.
  • Individuals in this role are expected to exhibit strong customer service and judgment in communications with attorneys, staff, and vendors of the Firm, including safeguarding the confidentiality of client and Firm information.
  • Attention to detail and the eagerness to learn and progress within a dynamic and growing environment are imperative.
  • The ability to thrive in a fast-paced environment and work under pressure with a positive attitude and calm demeanor.
