Essential Job Functions


The General Services Assistant is responsible for the daily coordination of General Services and facility related activities to ensure efficient and safe operations within the Houston office.In collaboration with the Operations Manager, Operations Coordinator, Digital Services and IT, this position is responsible for responding to requests for on-site building issues, workstation and office space needs. He or She coordinates and assists with new hire, visiting attorney and K&E personnel office set-ups.This position will also respond to and assist with building related projects, preventative maintenance, including scheduled or emergency repairs. Additionally, the General Services Assistant will receive, scan, sort and distribute USPS, Fed Ex and UPS packages.This position will also conduct regular inspections of each breakroom to ensure kitchen supplies, breakfast items, coffee, beverages and dishes are properly stocked and stored.He or She will also receive and document supply orders through Purchasing (P+) software.The General Services Assistant will also conduct a monthly facility inspection to ensure compliance, identify building deficiencies and/or unsafe working conditions.


  • Monitors and responds to requests through #HU General Services in a timely manner
  • Responds to on-site building issues, workspace and/or office needs
  • Receives, sorts and distributes USPS, Fed Ex and UPS packages accordingly
  • Stocks office supplies, as needed
  • Coordinates maintenance activities (paint, carpet, restrooms, trash, light check, nameplates)
  • Assists with office moves, equipment delivery, box moves, and new hire set-up
  • Maintains common areas and performs routine clean-up within the office space and breakrooms
  • Conducts regular inspections of each breakroom to ensure kitchen supplies, breakfast items, coffee, water, beverages and dishes are properly stocked and stored

OTHER FUNCTIONS (This list is not exhaustive and may be supplemented and changed as necessary.)

  • Ensures that each breakroom remains neat and clean
  • Receives and documents supply orders through Purchasing (P+) software
  • Conducts a monthly facility inspection to ensure compliance, identify building deficiencies and/or unsafe working conditions. 
  • Removes dirty dishes from offices at 11:00 a.m., 2:30 p.m. and 5:30 p.m. and places them inside the appropriate dishwasher
  • Assists with conference room set-up, as needed
  • Turns on and off TV in breakroom
  • Conducts regular light inspections in office, hallway and elevator areas
  • Spot checks carpet daily
  • Monitors and stocks printing paper, as needed
  • Cleans refrigerator every Friday (all three floors)
  • Performs light office maintenance work, as needed
  • Any other functions/duties as assigned by management

Qualifications & Requirements


  • High School diploma or equivalent required

Work Experience

  • (2-3) plus years related experience required


  • Excellent telephone etiquette
  • Outstanding verbal communication skills
  • Punctuality and availability for work overtime; hours are Monday-Friday from 8:00 a.m. to 5:00 p.m.; with the potential to change
  • Ability to work with minimum supervision
  • Customer service driven
  • Ability to multi-task

  • The ideal candidate will demonstrate excellent organizational skills, commitment to quality, attention to detail, and the ability to complete multiple tasks under pressure.
  • Must have a professional demeanor and be able to communicate effectively both verbally and in writing.
  • Ability to work overtime is required.
  • Ability to handle multiple tasks and ability to work under specific time constraints
  • Excellent written and oral communication skills
  • Requires the ability to lift 50 pounds and stand and/or walk for extended periods. 
  • Proficiency in the use of software, including, but not limited to, Microsoft Office: Word, Outlook and Excel


  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
