Essential Job Functions

Kirkland & Ellis is seeking an assistant to support the efforts of the Contact Relationship Management (CRM) team within the Firm’s Marketing/Business Development (BD) function. You will report to the Business Development Associate Director of Practice Intelligence with additional oversight by a CRM supervisor and will work closely with other CRM team members.

You will also communicate and collaborate daily with more than 100 diverse problem-solvers and advisers dedicated to the broader business development, marketing and communications efforts of the Firm. Our international BD team provides seamless service to our attorneys with a focus on quality, innovation and responsiveness.

You will be responsible for ongoing maintenance and support of the Firm's CRM system. Your top priority will be to perform database entry and maintenance, ensuring the accuracy and integrity of information in the CRM. You will be responsible for researching and updating data, performing searches to reveal inconsistencies and missing information and performing external research to expand/enhance relationship content (e.g., contact, company and industry research).

Essential Functions:

  1. Fully understand the functionality of the Firm’s CRM system (InterAction) and how attorneys, secretaries and BD staff work with the system.
  2. Perform data entry and maintenance for the Firm’s CRM system. Process updates from Business Development staff, attorneys, secretaries and other functional departments, as well as external sources.
  3. Perform searches to reveal missing information and inconsistencies in data. Take action to eliminate issues including merging duplicate records, populating missing data, and applying data entry standards and conducting research to verify the accuracy of information.
  4. Provide support for mailing list creation, maintenance and tracking. Gain familiarity with the Firm’s practice group structure and assist Business Development staff with targeting appropriate mailing lists.
  5. Assist Business Development staff, attorneys and secretaries with their day-to-day use of the CRM.
  6. Test new features, integrations and prepare supporting documentation.
  7. Assist with other marketing projects, as needed.

Qualifications & Requirements

Education, Work Experience, Skills

  • Strong organization and communication skills with the ability to interact professionally with high-level attorneys, staff and guests of the Firm are a must.
  • You should be able to work independently while making intelligent, informed decisions. Kirkland demands quality work from every employee (often in high-pressure and deadline-driven scenarios) so you need to be able to multi-task and prioritize effectively.
  • A history of taking initiative is essential to success in this position.
  • The position demands meticulous data entry, writing and proofing skills, and you need to possess a general facility for learning new software.
  • A Bachelor’s degree is required and an ideal candidate will have one to two years’ experience in a law firm environment.
  • This is a highly visible function within the firm, with aggressive deadlines and demands, so you will be expected to work additional hours as needed.

Technologies/Software

  • CRM Software, specifically InterAction
  • Strong skills in MS Office software with expertise in Microsoft Excel, PowerPoint and Word are required. Experience with Adobe and SharePoint are preferred.
