Essential Job Functions

The Compliance Coordinator will review, modify, and process all new client, new matter, revision, and conflicts searches using the Firm’s automated business intake system. Using well-established standards, business rules, and policies as guidance, the Compliance Coordinator will act as the Department’s first point of contact for all new requests. Along with the other Coordinators, this position will organize and facilitate large litigation and restructuring-related requests for searching and analysis.  This position will interface with all members of the New Business and Conflicts team, as well as attorneys and their secretaries.  This position is the primary monitor of the New Business and Conflicts hotline, the Department’s shared e-mail boxes and all pending intake requests for searching. The Compliance Coordinator is responsible for setting up large search requests on behalf of attorneys and coordinating the department’s efforts on researching, documenting, and delivery of all search results and summaries. The Compliance Coordinator is required to keep all documentation on the Department’s sharepoint sites relevant to both internal and external customers of the department. This position is responsible for upholding the standards and Firmwide policies of all new business processed by the Department, as well as implementing and policing standards of quality, consistency, accuracy and thoroughness, enhancing customer service, and improving efficiency.  Two to three years of related experience processing business intake and supporting a functional area’s initiatives, including compliance and regulatory monitoring is preferred.  This position needs to be familiar with legal terminology, possess a sharp business acumen and requires a strong attention to detail.  A flexible schedule and overtime is required. This position requires a bachelor’s degree.

  • Assist with processing new client and new matter forms and amending requests for clarity and completeness.  Responsible for collecting background information on all parties involved.
  • Analyze all engagement documentation, recognize the potential for risk and escalate to specified individuals for approvals.
  • Respond to department e-mail communications with accurate information in a timely manner.
  • Responsible for follow-up and processing of all intake requests pending action by an approver, submitter, or submitting attorney to ensure compliance.
  • Establish and perform maintenance on confidential and ethical walls. Coordinate notifications and acknowledgements.
  • Review and edit the Firm’s Weekly Report of Potential New Matters, as well as handle the report’s electronic distribution.
  • Collaborate with team members to address time-sensitive issues for routine pre-engagement, large litigation, and restructuring-related matters with a strong attention to deadlines.
  • Assist with collection and documentation of all parties involved in a client’s restructuring for research, conflicts searching, and potential disclosure.
  • Responsible for all series, class action and other large litigations, including research, analysis, documentation, and updates when appropriate.
  • Coordinate large data clean-up projects, special report requests, and responses to unique and complex client and matter information requests from a variety of customers.
  • Contribute to process, procedure, and technology improvements in order to reduce the Firm’s exposure to risk and improve efficiency.
  • Act as department representative (i.e., answer Firmwide hotline, assist with Firm training on department systems, etc.).
  • Responsible for directing unidentifiable materials and calls to the appropriate positions or department while demonstrating high levels of professionalism and sensitivity.
  • Recommend technology and process improvements.
  • Serve as technical liaison - monitor end-user errors and intake technical problems.
  • Serve as training liaison -- attend training/orientation sessions as subject matter expert for new and existing employees.
  • Conduct special projects as assigned.
  • Participate in overtime during evening hours and weekends.

Qualifications & Requirements

Education, Work Experience, Skills

  • Bachelor’s degree required.
  • Two to three years of related experience processing business intake and supporting a functional area’s initiatives, including compliance and regulatory monitoring is preferred.
