Essential Job Functions

This position reports to the Senior Director of Administration providing administrative support. On a day-to-day basis, works collaboratively with the Support Services Department to effectively and efficiently support department/Firm business needs.

  • Assist with preparation and distribution of committee meeting agendas, materials, and minutes
  • Organize and execute significant scheduling tasks
  • Assist with planning and scheduling administrative meetings
  • Organize and maintain critical and confidential files
  • Maintain calendars and meeting schedules
  • Utilize PeopleSoft and MS Excel to prepare various reports
  • Prepare expense reports and check requests
  • Prepare correspondence, memos and e-mails as requested

Qualifications & Requirements

Education, Work Experience, Skills

The qualified candidate will have excellent oral and written communication skills with the ability to interact professionally with attorneys, staff and vendors.Must be a self-starter, demonstrate the ability to make independent, well thought out decisions, and be able to work under pressure and meet deadlines in a fast paced environment. Strong organization and planning skills, including the ability to manage multiple projects concurrently, a team-oriented proactive approach, and strong attention to detail are necessary.Flexibility to work overtime is a must.

  • Unflappable telephone handling and active listening skills.  Must be effective at listening to, understanding, and clarifying requests and have the ability to offer diplomatic, results driven, creative solutions.
  • Demonstrate a highly professional attitude and personal presentation in all verbal and written communications (in person and on the telephone). Approach encounters with colleagues and vendors in a gracious, attentive, courteous and service-oriented manner. 
  • Demonstrate a strong sense of urgency while maintaining exemplary precision to detail and prioritization skills to meet deadlines, at times under pressure.
  • Adaptable, motivated to learn, and able to meet and maintain required performance standards.
  • Embrace new technology and ways of working that promote flexibility to adjust quickly to shifting business needs.
  • Share information and offer ideas and solutions in a team environment.
  • Proactively keep abreast of firm resources, contacts and subject matter experts to provide alternative solutions to fulfilling requests. 

Technologies/Software

  • Typing skills of 50-55 wpm, proficient working within MS Office with advanced Excel skills are required.
