What You’ll Do

The Senior Digital Services Coordinator is responsible for the daily coordination and processing of digital services and reprographics-related projects, activities, and requests. This position is responsible for ensuring the timely and accurate completion of requests related to formatting, creating, printing and assembling necessary materials by monitoring workflow, equipment usage, and work product quality. This position will also record accurate billing information for all completed work on a daily basis and maintain accurate reports, logs and measurements related to digital services and reprographics projects.  

ESSENTIAL FUNCTIONS 

  • Provides direction for department staff to ensure compliance with department and Firm policies and procedures, deadline compliance, job tracking, and quality.
  • Monitors flow of work through the department from job intake and prioritization, the production process, finishing, and quality control, and the delivery of the completed work request to the client; performs quality control checks on print jobs including print quality, job alignment, paper stock, and material used in the printing process.
  • Trains, troubleshoots, and has an advanced level of understanding of the digital services equipment; cross trains team members in all areas of production such as printing, copying, binding, cutting, drilling, and folding.
  • Supports financial results by minimizing waste and rework, utilizing equipment and supplies in a cost-effective manner; reports streamlining opportunities to manager.
  • Manages and stocks department supplies as necessary, including for Canon MFD equipment.
  • Communicates with vendors to resolve issues, escalating to manager when appropriate.
  • Acts as liaison for complicated copy, scan, print, binding, and finishing requests.
  • Operates production printers, scanners, copiers, binding machines, and other digital services-related equipment,
  • Completes various print and scan projects and requests using high-volume production MFDs and the Copitrak scanning platform; Prepares, scans and reassembles original documents.
  • Searches and prints documents from the Document Management System; indexes, stores, and retrieves electronic documents on mass storage devices, network drives, and Document Management System.
  • Sends scanned images via email or desktop for processing, conversion, clean-up, naming, and storage; converts file formats as required, and formats documents for printing.
  • Configures job processing software and applications to manage job queues, processes files, and print jobs.
  • Completes various media duplication projects and requests using multi-unit media burners, including but not limited to, burn master CD/DVD of scanned images, creates CD/DVD from audio and video files and creates and applies custom labels to disk.
  • Assists internal departments such as Document Services, Guest Services, and Legal Recruiting, Education, & Development with formatting, creating, printing, and assembling presentation, training, signage and display materials.

OTHER FUNCTIONS

  • Records accurate billing information for all completed work on a daily basis; maintains accuracy of required reports, logs, and measurements.
  • Performs duties and special requests as assigned by management.

What You’ll Bring

Education, Work Experience, Skills

  • High school diploma required; Associate degree or post-high school technical training preferred. Minimum of five (5) years’ experience in a high volume production document processing environment with direct customer service experience.
  • Previous law firm copying/scanning/printing experience or knowledge of legal document processing preferred.

Skills

  • Effectively communicate both verbally and in written format with customers and Firm staff.
  • Must be able to prioritize and work well under pressure and extremely tight deadlines.
  • Attention to detail with emphasis on accuracy and quality.
  • Exceptional customer service skills.
  • Ability to lift and/or carry up to 20 pounds and spend long periods of time up to 2-4 hours standing.
  • Ability to work overtime as required by workload, staffing and customer need with little or no notice.

Technologies/Software

  • Computer literacy including technical familiarity with printing, imaging, Microsoft operating systems and applications.
  • Ability to operate large centralized reprographic equipment.

WORK ENVIRONMENT

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.

Compensation

The base salary range below represents the low and high end of the salary range for this position in Los Angeles. This range may differ based on your geographic location and cost of living considerations. At Kirkland & Ellis, we consider compensation more than just a base salary. Compensation Range:

  • Los Angeles: $62,000 - $69,500
