What You’ll Do

We’re looking for a resourceful and service-driven Operations Specialist to help lead the day-to-day support functions of our Austin office. From coordinating facilities and guest services to ensuring every detail is covered for meetings and office logistics, this role is central to delivering the world-class experience Kirkland is known for. As an Operations Specialist, you’ll support three core service areas—Guest Services, Facilities, and Digital & Delivery Services—by:

  • Serving as the on-site lead for Guest Services operations, including conference room reservations, reception coordination, and visitor office readiness
  • Supporting catering logistics and event setup in collaboration with internal teams and vendors
  • Conducting walk-throughs to identify facilities issues and coordinating with building engineers and vendors for timely resolution
  • Managing office moves, workspace setups, and supply requests
  • Overseeing daily delivery support including incoming mail, courier tracking, and onboarding materials
  • Providing hands-on assistance with multi-function device troubleshooting and coordinating with tech support when needed
  • Monitoring service levels and proactively addressing day-to-day operational needs across departments
  • Participating in emergency preparedness and office safety protocols
  • Collaborating cross-functionally to implement process improvements and maintain a consistently high standard of support

What You’ll Bring

We’re looking for a proactive problem-solver with the confidence and judgment to lead by example. The ideal candidate will have:

  • 5+ years of experience in office operations or facilities support, ideally in a law firm or professional services environment
  • Strong communication skills, a client-service mindset, and the ability to manage competing priorities
  • A high level of attention to detail and the ability to anticipate and solve problems
  • Comfort working independently and collaboratively across departments
  • Familiarity with Microsoft Office Suite; experience with SharePoint, EMS (Event Management System), or service request systems a plus
  • A bachelor’s degree preferred (or equivalent experience)
