Essential Job Functions

The Philadelphia office is seeking an experienced and highly organized Litigation Practice Assistant with a service-first mindset to provide comprehensive support to attorneys and paralegals in a fast-paced, high-demand environment.

This role requires a proactive professional who excels at managing multiple priorities, anticipating needs, and delivering high-quality work under pressure. The ideal candidate will have strong litigation experience, exceptional attention to detail, and the ability to navigate complex administrative and technical tasks with efficiency and professionalism.

ESSENTIAL FUNCTIONS

Administrative Support:

Provide comprehensive administrative assistance by managing complex calendars, coordinating meetings, arranging travel, and preparing expense reports. Serve as the main point of contact for attorneys, clients, and internal teams, ensuring smooth communication and efficient workflow. Handle new business intake, track attorney time, and assist with personal tasks when necessary, all while maintaining a high level of discretion and professionalism.

 

 

Customer/Client Service and Teamwork:

Deliver exceptional service by maintaining strong relationships with clients, attorneys, and internal teams. Act as a proactive liaison, ensuring clear communication and timely follow-up on client needs and inquiries. Collaborate effectively with colleagues across departments, fostering a team-oriented environment that promotes efficiency and high-quality outcomes. Demonstrate a service-first approach, anticipating needs and consistently going above and beyond to support team success and client satisfaction. 

 

 

Professional Demeanor:

Exhibit professionalism by recognizing and adhering to all Firm policies, including attendance guidelines, dress code, security measures, and confidentiality requirements.  Maintain positive, professional, courteous, and flexible demeanor when dealing with clients and colleagues.  Perform complex Practice Assistant activities which may be highly confidential and require discretion and diplomacy.

 

File Maintenance:

Establish and maintain paper and electronic files in compliance with current Firm policies utilizing the Firm’s systems.

 

Qualifications & Requirements

Education, Work Experience, Skills

This position is a 3/2 hybrid schedule. The hours for this position are 9:30 am - 5:30 pm with flexibility for overtime and travel, as required.  Must have 5+ years of litigation experience. Must have high school diploma.  Bachelor’s degree or Paralegal certificate preferred.

Technologies/Software

Advanced proficiency in MS Word and formatting documents with a minimum typing speed of 55+ words per minute required.  Adobe, PowerPoint and Excel experience are also strongly preferred.
