Essential Job Functions

The Overnight Operations Specialist (Digital Services Specialist) serves as the on-site “face” of the Operations teams on an overnight schedule. The Specialist will have strong knowledge of scanning and imaging practices as well as experience in a networked production copy/print environment.  Strong typing skills are required as are very strong overall computer skills including an extensive working knowledge of the Microsoft Office Suite (Word, Excel, PowerPoint), Adobe applications (Acrobat, Photoshop, Illustrator), internet and web-based applications, messaging applications and the Microsoft operating system. Some experience troubleshooting and diagnosing common network, hardware and software problems is a definite plus.

In addition to the technical skills for Digital Services, the Specialist will take on multiple tasks. The ideal candidate will:

  • Collaborate with the Associate Directors, Managers, and Supervisors of multiple departments to establish clear expectations and work priorities.
  • Have very strong communication skills, both written and oral.
  • Be extremely responsive, customer service oriented, committed to quality and deadline driven.
  • Have a strong attention to detail, outstanding organizational skill, a high degree of concentration, patience, and professionalism.
  • The ability to multi-task.
  • Understand the importance of providing white glove service. 
  • Be a motivated self-starter with the demonstrated ability to work independently along with the ability to collaborate on projects and participate in a team-oriented environment.
  • Liaise with building management and security to address and respond to all requests.
  • Provide assistance with Conference Center requests as needed.
  • Attend to “in person” requests for assistance.
  • General clerical tasks and other projects as delegated.
  • Shift priorities as needed to provide white glove service to VIPs.
  • Exercise confidentiality and management of information requiring discretion and diplomacy.
  • Utilize a high level of judgement to appropriately respond to all requests.
  • Other duties as assigned and/or required.

 ESSENTIAL JOB FUNCTIONS

Primary Responsibilities – Digital Services

Workflow

The Specialist will triage all incoming work and initiate the department’s standard workflow. For print production tasks, this includes converting and processing documents, as needed, to prepare the files for the Production team. Using custom tools, the Specialist will perform advanced processing and formatting on the submitted files, design custom labels, covers and binder spines when required and generate supporting documentation to assist with quality control and billing.

Digital Document Support

The Specialist handles a wide variety of digital document tasks including the creation of self-contained, hyperlinked Closing Books, completes the download and transfer of electronic document collections for data rooms or via internet link, applies advanced file formatting or file processing and creates USB/Flash drives. Other tasks could include creating Bates/Exhibit labels and assisting internal departments such as Document Services, Business Development, Human Resources/LRD, TME with formatting, creating, and printing and assembling presentation, training, signage and display materials.

General Production Tasks

The Specialist is cross trained in all areas of production such as copy, scan, print, binding, and finishing.

Customer Service

The Specialist will ensure the highest level of customer care, answering incoming phone calls and responding to email, offering advice, guidance and suggestions to staff to ensure efficient use of Operations services and capabilities.  Working closely with our customers, the Specialist will conduct an assessment of the customer’s desired output and determine what is needed to complete the job and then coordinate internal resources as needed to meet customer needs.

The Specialist must demonstrate leadership skills and the ability to achieve results by pulling together appropriate internal tools and resources.  The duties and tasks required in this position reflect substantial variety and complexity.  The ability to solve practical problems is essential.  The position requires creative problem-solving skills, outstanding judgment and excellent decision making to meet and exceed customer expectations.

Qualifications & Requirements

The Specialist must be able to demonstrate the following minimum qualifications:

  • Associate degree or post-High school technical training preferred; High school diploma required.
  • Minimum of three (3) years’ experience in a production document processing environment.
  • Previous law firm copying/scanning/printing experience or knowledge of legal document processing needs recommended.
  • Minimum of one (1) year direct customer service experience.
  • Computer literacy including technical familiarity with printing, network systems, internet/intranet issues, Microsoft operating systems and applications.
  • Ability to operate large, centralized printing equipment.
  • Effectively communicate both verbally and in written format with customers and Firm staff.
  • Ability to lift and/or carry up to 40 pounds and spend long periods of time standing.
  • Flexible scheduling, but must be available to work core hours of 12 a.m. – 4 a.m.
  • Ability to work overtime.

The base salary range below represents the low and high end of the salary range for this position in Chicago. This range may differ based on your geographic location and cost of living considerations. At Kirkland & Ellis, we consider compensation more than just a base salary. Compensation Range:

  • Chicago: $55,000 - $65,000
