Essential Job Functions

The Chicago office is seeking an Administrative Coordinator who will provide after-hours administrative support for the Chicago office. This individual will handle clerical tasks including answering telephones, reprographics, courier services, onsite employee/guest business needs and other tasks as delegated.  We are looking for someone with strong customer service skills who doesn’t mind wearing multiple hats.

ESSENTIAL FUNCTIONS (This list is not exhaustive and may be supplemented and changed as necessary.)

  • Answer and direct switchboard calls
  • Print, scan, organize, and distribute documents, and/or coordinate with support departments to arrange for copying, and custom reprographics/binding
  • Prepare and coordinate packages for messenger or overnight shipment
  • Monitor multiple shared Outlook mailboxes
  • Urgent travel arrangements and conference room scheduling
  • Attend to walk-up requests for assistance
  • Document revisions, comparisons, transcription and other projects as assigned
  • Shift priorities as needed to provide white glove service to VIPs
  • Exercise confidentiality and management of information requiring discretion and diplomacy

Qualifications & Requirements

  • A minimum of 3 years of experience in an administrative or professional services firm is required.
  • The ability to anticipate exercise sound judgement, tact, diplomacy, integrity, and professionalism in all interactions is essential.
  • Candidates should be self-motivated, require minimal supervision, and will be required to maintain confidentiality.
  • A strong working knowledge of Microsoft Office
  • The individual should be flexible in order to handle time sensitive requests.
  • A desire to learn new skills and to expand their skills over time is necessary.
