Essential Job Functions

The E-Billing Assistant is responsible for providing support to the E-Billing Manager as it relates to the Firm’s e-billing processes and work closely with the E-Billing Coordinators and billing staff to facilitate accuracy, compliance, and timely submission of invoices to clients.

ESSENTIAL FUNCTIONS (This list is not exhaustive and may be supplemented and changed as necessary.)

  • Administration of the e-billing function, including:
  • Monitor and respond to shared mailbox emails
  • Proactively seek and identify enhancements to the e-billing process
  • Maintain documentation of existing processes
  • Provide training, as necessary, to impacted parties
  • Responsible for all tasks related to the set-up of new e-billing clients:
  • Communicate implementation timeline to appropriate Firm personnel
  • Review client and matter set-up in billing system and e-billing site
  • Assist with entering billing rates and/or cost overrides
  • Request new matters in e-billing sites
  • Prepare client summaries of billing rules and processes
  • Ongoing maintenance of e-billing vendor sites, including:
  • Assist with upload of timekeeper rates
  • Handle new matter set-up requests
  • Track e-billing vendor service agreement terms and submit invoices for payment processing
  • Add and remove users from e-billing sites as required
  • Administration of Accounts Payable websites
  • Confirmation of banking information
  • PO set-up
  • Assist with completing client questionnaires
  • Other functions as required, including:
  • Assist with set-up and testing of process automations
  • Test implementation of new software
  • Communicate with E-Billing Manager and billing staff regarding situations that may require follow-up on outstanding assignments and unexpected delays
  • Special projects as needed

Qualifications & Requirements

  • A Bachelor’s Degree in Accounting, Business, Computer Science, or Information Systems is strongly preferred.
  • Commitment to providing excellent customer service while producing a high-quality work product. The ability to multitask and prioritize is essential.
  • High level of discretion to handle sensitive and confidential client information.
  • Possess outstanding interpersonal skills to work effectively within a team environment, as well as independently.  The ability to adapt to new assignments and deadlines in a fast-paced, highly demanding environment is required. 
  • Flexibility to work after shift and additional hours as may be required.

Technologies/Software

  • MS Office with emphasis on strong Word and Excel skills
  • Elite 3E or Aderant experience preferred
  • Knowledge of e-billing software platforms i.e., Legal Tracker, BillingPoint, Collaborati, TyMetrix, CounselGo, Coupa, Ariba, Bill.com

WORK ENVIRONMENT

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers and laptops, telephones, printers and scanners, copiers, and document management systems.
