Essential Job Functions

The Delivery Services Assistant will have a dual role, providing both Delivery Services and Digital operations support as needed. 

Under direct supervision, the Delivery Services Assistant supports the delivery of quality service to clients and Firm personnel by sorting and distributing incoming mail/courier packages; picking up and distributing internal mail; processing outgoing mail/courier packages, maintaining/distributing office supplies, and the inter-office pouch.  This role will also be asked to work with other teams assisting with office moves and set ups; conference room set-ups and additional duties as assigned. This position will also record accurate billing information for all completed work on a daily basis and maintain accurate reports, logs, and measurements related to department requests.

ESSENTIAL FUNCTIONS (This list is not exhaustive and may be supplemented and changed as necessary.)

  • Receives, sorts, and delivers incoming mail and packages; processes outgoing mail, all in a timely manner.
  • Delivers incoming courier envelopes and packages; processes outgoing courier envelopes and packages; arranges for courier services as needed.
  • Assists Firm personnel with mailing needs, such as certified mail, FedEx, UPS, and courier services.
  • Coordinates, prepares, and processes all incoming/outgoing mail for scanning then delivers the parcel to the addressee electronically and/or physically.
  • Tracks courier and accountable items (FedEx, UPS, Certified Mail, etc.).
  • Prepares and processes incoming and outgoing inter-office pouches.
  • Supports financial results by minimizing waste and rework, utilizing equipment and supplies in a cost-effective manner.
  • Cleans and stocks department supplies as necessary.  Wil also maintain and distribute office supplies to end users.
  • Maintains accuracy of required reports, logs, and measurements.
  • Performs duties and special requests as assigned by management.

ADDITIONAL FUNCTIONS (This list is not exhaustive and may be supplemented and changed as necessary.)

  • Assists with Digital Services requests depending on coverage and workload of the department.
  • Operates production printers, scanners, copiers, binding machines, and other digital services related equipment.
  • Completes various print and scan projects and requests using high-volume production MFDs and the Copitrak scanning platform; prepares, scans, and reassembles original documents.
  • Performs quality control checks on print jobs including print quality, job alignment, paper stock, and material used in the printing process.
  • Cross trains in all areas of production such as printing, copy, binding, cutting, drilling, and folding.
  • Manages and stocks supplies for all MFD equipment. Stocks and maintains production supplies including paper, tabs, etc.
  • Work with Facilities and Guest Services teams to set up work space for visitors/new-hires and conference rooms.

Qualifications & Requirements

Education, Work Experience, Skills

  • High School Diploma required.
  • Prior experience in the legal mailroom environment preferred.
  • Excellent written and oral communication skills sufficient to provide routine information, answer inquiries, and refer calls.
  • Provide premiere service to clients with a “can do” attitude.
  • Must be able to work well under pressure and extremely tight deadlines.
  • Proficiency in using a postage machine, fax machine, and copying and binding equipment preferred.
  • Knowledge of copier equipment, minor troubleshooting (e.g., clearing paper jams, changing toner, etc.)
  • The employee is frequently required to stand, walk, and push a mail cart, as well as to lift and carry objects such as packages and boxes weighing up to 50 pounds.
  • Ability to learn proprietary systems, possess effective communication skills, and the ability to follow instructions.
  • Proficiency in Microsoft Word, Excel, and PowerPoint preferred, strong knowledge of Microsoft Outlook required.
