Essential Job Functions

Kirkland & Ellis LLP is seeking an energetic and motivated individual for the role of Business Intake Coordinator in the Business Intake Department. This is an exciting opportunity to assist a dynamic department with researching and processing requests involving the establishment of new clients and new matters. The primary responsibility is to business intake system requests. The Business Intake Coordinator will review new business intake forms to ensure compliance with Firm policies and business standards. The Coordinator will also work closely members of the Business Intake & Conflicts Department around the globe to ensure that all requests are created, managed and completed in a timely manner. This position offers the opportunity to assist with establishing and performing maintenance on client and matter data, as well as coordinating notifications and acknowledgements. Attention to detail is a critical competency, as the Coordinator role is vital in identifying potential risk and communicating effectively to ensure that all requests are completed expeditiously while adhering to the Firm’s business requirements. The Business Intake Coordinator will need to be flexible, reliable and ambitious to meet the business requirements of the Firm while maintaining a positive, helpful demeanor to the customer.  Familiarity with online database research, document management systems and other business applications (i.e., Microsoft Office) required.  The ideal candidate should exhibit excellent oral and written communications skills, possess a public service orientation, demonstrate above average business acumen, be able to analyze complex and conflicting information and multi-task in a time-sensitive environment.  It is essential that the Business Intake Coordinator identify and analyze problems and provide creative solutions, as well as maintain an acute attention to detail while applying good judgment under time constraints. Conflicts searching experience is preferred but not required.

Essential Job Functions (This list is not exhaustive and may be supplemented and changed as necessary.)

  • Monitor workflow and review the items that appear in the KENI-DBI Actions folder. Make necessary edits on conflict database in a timely manner with attention to detail.
  • Review, evaluate and act on all requests submitted to the Department.  This includes the creation of new requests on behalf of attorneys and support staff.
  • Assist with reviewing new client and new matter forms and amending database records for clarity and completeness (e.g., identifying additional parties when needed).
  • Work with specialists, analysts and other team members to address time-sensitive issues related to routine pre-engagement and restructuring-related matters.
  • Collaborate with team members on new business, new employees and projects with attention to deadlines.
  • Search and analyze using the Intapp OPEN database.
  • Conduct special projects as assigned.

Qualifications & Requirements

Education, Work Experience, Skills

  • Bachelor’s degree required.
  • Two to three years of related experience processing business intake and supporting a functional area’s initiatives, including compliance and regulatory monitoring, is preferred. 
  • This position needs to be familiar with legal terminology, possess a sharp business acumen, and requires acute attention to detail, critical thinking, strong judgment, and decision-making skills.
  • Experience in data quality, research, reference library work, conflicts searching, or related experience is preferred. 
  • Able to work well under pressure and understand the meaning of exceptional customer service.
