Essential Job Functions

The Business Intake Specialist (in rotation with other members of the Business Intake team) is responsible for all aspects of data integrity, including final review of all new clients, new matters for existing clients and revisions to existing clients and matters.  The major focus of the position will be to ensure that all client-matter data meets the Firm’s quality standards while being properly recorded and organized.  This position reports to the Business Intake Supervisor - DBI (Database Integrity) and is subject to the needs that may arise in aiding the Firm’s Office of the General Counsel, Professional Responsibility Partner, Risk Management and the Business Intake and Conflicts area in general.

The Business Intake Specialist has these core responsibilities:

  • Ensure that all information delivered by the Kirkland & Ellis New Business Intake (KENI) database  and stored in the Firm’s client-matter database of record (OPEN ODM)is of the highest quality. 
  • Responsible for the quality of data for existing clients and matters when modified through the KENI application.
  • Initiate routine maintenance of client-matter data and identify opportunities for improvement of Firmwide data quality, utilizing Firm and industry standards.
  • Responsible for the accuracy, thoroughness, and completeness, both current and historical, of all client-matter information gathered and reported throughout the Firm. 
  • Responsible for the timely and accurate delivery of routine reports to partners and key stakeholders.  Produce ad hoc reports as requested.

ESSENTIAL JOB FUNCTIONS

  • Possess a strong understanding of the Firm’s practice areas, industries, and people.
  • Identify trends, communicate findings and propose recommendations to improve data categorization and organization.
  • Partake in training of new employees, including documentation updates, on-going training sessions, and scheduled peer review.
  • Assist supervisor with updating and ensuring accuracy of all process and procedure documentation related to the Business Data Quality team.
  • Meet regularly with members of the team.
  • Edit, update, and maintain all client-matter records in the client-matter database.
  • Recognize when additional hours are needed to meet department goals. Working after hours in evening and on weekends as needed. Be available for emergency urgent requests.
  • Special projects as assigned.
  • Teach departmental processes and systems to new employees in Business Intake & Conflicts (often times using telecommunications conferencing).
  • Review and assess current company research resources for accuracy and efficiency.
  • Provide high-level customer service to attorneys in varying capacities (assistance with Risk Management systems, conducting compliance reminders, etc.).
  • Be available for urgent and confidential situations, including evenings and weekends. Be available 24/7 via mobile device.
  • Review conflicts reports and analysis for accuracy and content.

Qualifications & Requirements

The ideal candidate will possess five years of related experience, including conflicts searching or similar process management/risk management experience is required.  An understanding of conflict-of-interest concepts, know your client regulations, Firm specific business rules, relational databases and grammar rules is required. Familiarity with online database research and the Internet is required.  Excellent oral and written communication skills, public service orientation, and the ability to analyze complex and often conflicting information are also required.  The Business Intake Specialist should also possess an acute attention to detail, as well as the ability to identify and analyze problems and find solutions. A master’s degree and knowledge of the Firm and its history are preferred.  A bachelor’s degree is required.
