Essential Job Functions

Perform the following duties relating to the Practice Services Department under the direction of the Associate Director of Practice Support Services.

Timekeeping

  • Maintain monthly absence calendar
  • Monitor attendance, leave and make-up requests
  • Discuss coverage needs with PAs prior to absence if needed
  • Retrieve daily absence calls from departmental call-in telephone extension
  • Inform attorneys and back-up teams of absences
  • Send PA schedule change requests to Chicago for processing
  • Discuss problematic PA attendance with Associate Director
  • Determine daily assignments

Admin

  • Routinely collect feedback from attorneys, paralegals and managers
  • Regularly share feedback with floater(s) and Associate Director
  • Conduct feedback meetings with Associate Director
  • Field questions/concerns from assistants and elevate to Associate Director when necessary.
  • Walk floors to develop and maintain relationships with the assistants and identify morale and performance issues.  Discuss with Associate Director as appropriate.
  • Serve as resource for staff regarding K&E policies and procedures
  • Assist Associate Director with conversations with staff and interviewing prospective assistants
  • Maintain and update organizational documents and reports
  • Participate in determining new PA assignments
  • Create and distribute ‘Move’ notifications
  • Update PeopleSoft
  • Assign Chrome River access
  • Coordinate on-call schedule for holidays
  • Arrange attorney back-up phone coverage when needed
  • Handle overflow requests as needed

Meetings

  • Assist Associate Director with scheduling PA and Document Services meetings, training sessions, and special events
  • Assist Associate Director with Practice Assistant Review Meeting

Document Services

  • Monitor day time and after-hours distribution lists to ensure timely responses
  • Schedule after-hours coverage when needed
  • Work with Associate Director to add/remove team members when necessary

Qualifications & Requirements

  • 3+ years experience as a secretarial coordinator or supervisor in a mid to large size law firm or a corporate or financial services organization.
  • Possess in-depth knowledge of legal secretarial services and processes in a law firm or corporate/financial environment.
  • Strong attention to detail and ability to work efficiently and prioritize assignments.
  • Excellent communication and organization skills, ability to adapt to change, and demonstrate a customer service orientation.
  • Responsive to requests, with follow-up and ability to provide excellent customer service in a professional, respectful and positive manner.
  • Maintain confidentiality, act in a fair and equitable manner and be able to interact effectively with individuals on all levels of the firm’s business.
  • Able to take initiative, work independently and make sound business decisions
  • Proficient in Microsoft Word, Excel.
  • College degree is required; equivalent work experience will be considered.

Compensation: 

The base salary range below represents the low and high end of the salary range for this position. This range may differ based on your experience and skill set, geographic location, and cost of living considerations. At Kirkland & Ellis, we consider compensation more than just a base salary. We also offer an exceptional range of flexible benefits, personal support and tailored learning and development opportunities all designed to help you realize your full potential both in life and at work.

  • Washington D.C. - $90,000 -$105,000
