Essential Job Functions

The Operations Coordinator will provide operations/facilities support to the Firm’s Washington office.    

Under the direct supervision of the Associate Director of Facilities Services, the Operations Coordinator will support various operational departments and functions to ensure smooth day-to-day operations. The Operations Coordinator will be a primary point of contact for all Washington personnel; therefore, must possess a professional image and phone presence. The schedule for this position is Monday through Friday, 8:30 am - 5:30 pm with a one-hour meal break. Must be available to work overtime, as needed.

 ESSENTIAL JOB FUNCTIONS

Essential job functions include those set forth below. Other duties and responsibilities may be assigned. Regular and predictable attendance and the ability to work overtime as needed is an essential function of the job.

Safety and Security:

  • Assists with implementing the Firm’s safety and security procedures, planned equipment updates, and serves as a member of the Emergency Response Team. Responsible for maintaining an up-to-date list of Emergency Response Team members.
  • Creates new and replacement badges for Firm personnel and visitors.
  • Contacts security systems vendors to troubleshoot issues when necessary.
  • Supports DC programs coordinated by the Physical Security team, including, but not limited to CPR AED training, Emergency Response / MIR 3, Building / Life Safety drills.

Office Operations:

  • Maintains inventory of department supplies and distributes office supplies to Firm personnel.
  • Addresses requests from staff and attorneys related to office space, including location, furniture, and equipment moves.
  • Reports and follows up on building-related maintenance requests.
  • Supports the Digital Services and Delivery Services functions as needed.
  • Collaborates with IT and Guest Services staff in coordinating internal and external events, including coordination of supplies, signage, room set-up, and any other requests.
  • Processes invoices related to facilities, and mailroom activities, creates requisition forms, processes purchase orders, and monitors order status, including preparing, executing, and tracking vendor service contracts.
  • Ensures the highest level of customer care by answering incoming phone calls and monitoring the department email account.
  • Performs duties and special requests as assigned.

Qualifications & Requirements

Education, Work Experience, and Skills:

  • High school diploma required. College degree preferred or equivalent work experience will be considered.
  • 3+ years’ experience in an Operations or Facilities related role.
  • Strong customer service skills, preferably in a law firm or professional services environment.
  • Strong interpersonal skills with the ability to build relationships with all Firm personnel to achieve desired results.
  • Strong written and oral communication skills. Ability to present complex ideas in an easy-to-understand way.
  • Must possess a professional demeanor and the ability to work in a fast-paced environment.
  • A motivated self-starter with the demonstrated ability to work independently, collaborate on projects, and participate in a team-oriented environment.
  • Ability to type 40+ wpm and to handle multiple incoming telephone lines is required.
  • Ability to lift and move up to 50 lbs.
  • Ability to handle confidential information with discretion.
  • Strong proficiency in Microsoft Office suite of applications, including PowerPoint, Excel, and Word.
  • Experience with Datawatch and C-Cure preferred.
  • Ability to safely utilize tools and equipment needed for office moves and set-up.
