Essential Job Functions

Working under the direction of Operations leadership, the Operations Manager has practical experience as a project manager or facilities supervisor/manager of a large office and has demonstrated experience and success managing a facilities team that can support the various tasks required to maintain a professional services environment. The Operations Manager has thorough practical knowledge of contractor jargon, building repair processes and maintenance, e.g. HVAC, carpentry, mechanical and electrical systems, plumbing, painting, keys/locks, physical security, ergonomics.  The Operations Manager works closely with the Guest Services team to support large scale events to regular meetings with room set-ups, signage, visitor check-in and coordination with security.  The ideal candidate is able to work effectively in a fast-paced environment, while leading a team of facilities staff and managing shifting priorities.  The Operations Manager will communicate effectively to vendors, building management, staff and stakeholders and be the investigative first line of defense for the facility. The Operations Manager is able to foresee and resolve issues related to the facility.

Essential Duties and Responsibilities:

Facilities Management

  • Hands-on manage and monitor the functionality of the facilities (HVAC, plumbing, lighting, safety)
  • Coordination with Guest Services team to support meeting and event set-up. 
  • Oversees all Facilities staff and their projects.
  • Meets regularly with Operations leadership to review space, perform walk-throughs.
  • Responsible for all follow up and follow through with ongoing facility improvements.
  • Oversees the completion of internal office moves, makes recommendations on space.
  • Plans, anticipates, and communicates issues related to facilities.
  • Works directly with building to make and receive alerts related to the facility.

Financial Accountability

  • Reviews and approves invoices.
  • Researches and presents sensible options for facilities related costs.
  • Vets vendors and products as requested.

Other

  • Build relationships with departments heads, vendors, and staff.
  • Aware of city/state guidelines for office buildings.
  • Maintains awareness of building issues and key contacts.
  • Special projects as identified by Operations leadership.

Qualifications & Requirements

  • 5+ years work experience in Facilities in a supervisory role
  • Professional appearance and attitude.
  • Ability to work with minimal supervision.
  • Ability to interact positively with all levels of Firm Employees.
  • Ability to effectively multi-task under pressure and manage multiple priorities.
  • Positive & results-oriented attitude.
  • Strong analytical and critical thinking skills
  • Excellent verbal and written communication; strong presentation skills.
  • Strong knowledge and experience of MS Office Suite. 
  • Knowledge of Facility Management Software Systems.
  • Excelled customer services skills.
  • Ability to climb a12 foot ladder, lift 50 lbs, push 50 lbs, pull 50 lbs, squat, crawl.
