Essential Job Functions

The Cash Application Coordinator performs, under minimal supervision, a wide range of activities including cash application functions, bank deposits and recording & reconciling payments.  Additional duties include vendor due diligence & set-up and support for a wide range of Accounts Payable activities. 

ESSENTIAL FUNCTIONS (This list is not exhaustive and may be supplemented and changed as necessary.)

  • Post daily remote deposits from other US offices, ACH/EFT, and bank wire activity.
  • Prepare and scan the daily bank deposit and ensure bank deadlines are met.
  • Research and identify payment application and accurate posting to client invoices, including unapplied cash and write off requests.
  • Support of the collection analyst and billing coordinators during quarterly collection activity and at calendar/fiscal year end closings.
  • Tracking and procuring retainer and escrow paperwork, agreements and processing of deposits and disbursements.
  • Perform vendor due diligence and set-up, including running of Dun & Bradstreet reports, verifying tax identification using IRS TIN matching website, independently verifying bank details and obtaining necessary approvals.
  • Reconcile vendor statements by reviewing past due invoices and maintain vendor contacts to resolve payments issues.
  • Assist with reviewing/processing of daily and/or weekly payment files. 
  • Assist with on-line governmental filings and recording of payments.
  • Perform and reconcile accounts payable and soft cost uploads for posting to financial software.
  • Process voucher reclassifications.
  • Answer inquiries from support line and achieve issue resolution.

Qualifications & Requirements

  • The Cash Application Coordinator will have at least 3-5 years of cash applications and accounts payable work experience, preferably in a law firm or professional services industry, showing progressive growth in responsibilities. 
  • A Bachelor’s Degree in Accounting, Finance, or Business is preferred.
  • Familiarity with 3E Elite financial system and Chrome River expense and invoice management application is highly desirable.    
  • Excellent interpersonal and organizational skills are required and the individuals must be proactive and results oriented. Attention to detail and the eagerness to learn and to progress within a dynamic and growing organization are imperative. Individuals are expected to exhibit strong customer service skills and a commitment to excellence.
  • Shows initiative by taking on additional works and assisting team members to bring tasks to completion.
  • The ability to multi-task in a fast paced environment and consistently meet deadlines.

  • Intermediate level Microsoft Excel skills are required
