Essential Job Functions

Kirkland & Ellis is seeking a resourceful, energetic, self-starter to join the Bay Area Business Development (BD) department. In this role you will handle a variety of administrative and operational functions including: events, contact relationship management, pitches and proposals, attorney bio updates, branding, business/relationship intelligence and internal communications. You will report to the Bay Area Business Development Manager and will work closely with the Bay Area Business Development Coordinator and SLC Specialist along with other team members in Los Angeles.

You will also communicate and collaborate daily with more than 140 diverse problem-solvers and advisers dedicated to the broader business development, marketing and communications activities of the Firm. Our international BD team provides seamless service to our attorneys with a focus on quality, innovation and responsiveness. Your role will also intersect with many other administrative departments within the Firm including Accounting, Diversity & Inclusion, Support Services, Purchasing, etc.

This is a hybrid role.

Essential Functions:

  • Assist with event planning and execution of seminars and receptions, industry conference and charitable sponsorships, speaking engagements, client entertainment and other events related to the Bay Area and SLC offices.
  • Assist in the production of marketing collateral and pitch materials, responses to RFPs and client presentations, including proofreading, formatting (must have exceptional PowerPoint skills), editing, printing, binding and delivery.
  • Coordinate with attorneys on biography updates and update attorney pitch and website bios accordingly.
  • Support and help manage the client gift inventory including helping research/generate ideas for specific events, connecting with appropriate vendors, and submit purchasing requests through P+ software and coordinating with Purchasing team on orders.
  • Process invoices and submit monthly purchasing card statements, troubleshooting issues along the way, and determining copay buy-ins with partners, if necessary.
  • Manage information in the Firm’s contact relationship management (CRM) system, including the review and creation of mailing lists used for direct mail campaigns.
  • Conduct research and prepare intelligence reports on clients, potential clients, competitors and target industries.
  • Help with survey responses and award submissions as needed.

Other Functions: (This list is not exhaustive and may be supplemented and changed as necessary.)

  • Provide general assistance to the Bay Area and SLC BD team members relating to the initiatives of the Bay Area and SLC offices and BD department.
  • Provide administrative support, including expense reports, phone support, filing, etc.
  • Manage Bay Area attorney photo shoots, including scheduling, supervising, and execution of the shoot.
  • Schedule conference calls, Zoom meetings and department meetings.

Qualifications & Requirements

Education, Work Experience, Skills

  • A four-year degree is required.
  • Flexible for overtime as necessary.
  • Must have solid command of MS Office Suite (Outlook, Word, PowerPoint, Excel).
  • Excellent client service orientation, interpersonal and communication skills.
  • Strong ability to adapt to change and thrive in a fast-paced environment.
  • Ability to manage a diverse range of assignments and projects and prioritize multiple tasks.
  • A history of taking initiative is essential to success in this position.
