Essential Job Functions

The Time and Absence Supervisor is responsible for the day-to-day supervision and workflow coordination of the Firmwide Time and Absence team. The supervisor is also responsible for ensuring that Time and Absence-related business processes are documented and updated, to support efficient department operations. Under the direction of the Associate Director of HR Operations, the supervisor will coordinate with the Firm’s HRIS Analysts, the HR, IT, Benefits, and Payroll departments to ensure that the Firm’s Time and Absence modules within the core HCM system is designed, developed and maintained in a manner that supports accurate tracking and reporting of Human Resources data.

  • Demonstrated ability to identify the root cause(s) of problems/inefficiencies in business processes

  • Ability to work effectively with attorneys and all levels of management

Essential Job Functions:

  • Day-to-day supervision of the assistant and coordinator level staff on the Time and Absence team
  • Ensure that tasks are assigned in a fair and consistent manner
  • Manage the department’s list of standard queries, and ensure that results are being worked in a timely manner
  • Manage matchups with HR data, to ensure accuracy between modules specific to key pieces of data, e.g. comparing holiday schedules with office assignments, and standard hours to schedules
  • Manage day-to-day system data-entry questions by the team
  • Assist with time and absence entries, particularly during busy periods or larger projects
  • Create complex reports, statistical summaries, and presentations to support business and departmental objectives and to inform management decisions
  • Organize and lead team meetings including those focused on team training and growth opportunities
  • Read the sent items of the Time and Absence Outlook mailbox, looking for patterns, efficiencies, accuracy in response, and training opportunities
  • Ensure team-wide adoption of a department standards, as well as confirmation that decisions made are documented
  • Lead annual review of team documentation, and identify new opportunities for documentation
  • Assist with prioritizing technical work (e.g. bug fixes or enhancements) and assisting with system upgrades
  • Creating annual overtime and absence-calendar cutoff calendars
  • Other projects and duties as assigned

Qualifications & Requirements

A Bachelor’s degree in or equivalent experience in a related field and a minimum of five (5) years of experience in Human Resources required.  Proficiency with MS Office, particularly Excel, is also required.  Prior supervisory experience preferred.  Experience in a law firm or professional services environment preferred.  The Time and Absence Supervisor must have excellent judgment; exceptional problem-solving skills; superior oral, written and interpersonal communication skills; and the ability to work effectively in a fast-paced environment. In addition, the successful candidate will be self-motivated, organized, and able to multi-task and effectively prioritize competing demands on his or her time and attention.
