Essential Job Functions

  • The Travel, Meetings & Events team supports all departments within the Firm with a variety of meeting and event activity including the All Partners’ and Share Partners’ meetings.
  • This individual will be responsible for a wide range of firm travel and event related administrative tasks, including support to the Travel and Meetings & Events Texas Manager with the planning and execution of internal and external meetings as well as providing administrative support.

Essential Functions:

  • Provide support, especially data management, with all aspects of planning and execution of Houston, Dallas, and Austin.
    • Manage the production of event materials including: invitations, RSVP’s and agendas, name badges, and promo items.
    • Coordinate meeting collateral, including signage, attendee lists, name tags, and other materials.
    • Assist with sourcing venues and vendors for meetings and events.
    • Coordinate meeting communications via Firm’s website tool, CVENT.
    • Assist with final billing reconciliation.
    • Assist with the logistics and execution of team member’s events.
    • Prepare event proposals and manage event budgets for assigned events, ensuring that expenses are within the approved budget; process all related payments and invoices.
  • General office duties including:
    • Process invoice requests and expense reports
    • Assist with managing and overseeing event budgets
    • Other duties as assigned by TME Texas Manager
    • Support TME team as needed
    • Work with vendors and catering contacts (in-house and external).
    • Ability to work in the evenings and weekends, as needed, with events support.

Qualifications & Requirements

Education, Work Experience, Skills:

  • Highly organized, possess excellent proofing and communication (oral and written) skills; the ability to multitask in a fast-paced environment with strong attention to detail and a professional, collaborative, team-oriented demeanor.
  • Proven ability to organize and prioritize a diverse range of assignments and projects.
  • A Bachelor’s degree is required and ideal candidate will have at least two years’ experience in law firm environment preferably in marketing or meeting/events department or have had previously worked in hotels.
  • Passion for event production/execution and logistics.
  • Must be available to work evenings and weekends.

Technologies/Software:

  • Technical experience should include MS Word, Office, PowerPoint and Excel, as well as Cvent.

WORK ENVIRONMENT

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
