Essential Job Functions
Qualified candidates will bring with them administrative experience working as an assistant, ideally in a professional service environment. The ideal candidate will have experience in handling a variety of administrative, project related, and/or personal tasks. The candidate must be exceedingly well organized and flexible and interested in participating in a training program focused on best practices and keys to success at Kirkland. In addition to traditional style training, candidates will participate in a rotation through a variety of departments within the Firm to gain exposure to and experience with the variety of tasks and assignments that may be called upon. Candidates will also receive Practice Assistant training and may be asked to provide back up support for the Support Services department as needed. Training and rotational experience will focus on a variety of administrative responsibilities including, but are not limited to heavy coordination of logistical details including making extensive travel arrangements, scheduling and organizing meetings and handling multiple changes regarding same, monitoring and keep team aware of changes, draft responses to email communications and/or respond on behalf of the office, preparing and tracking expenses, interfacing with partners and senior staff both in person and on the telephone, typing routine correspondence, filing and other general administrative and project based duties as assigned.
Ideal candidate will have 1-3 years administrative experience, preferably in a law firm or other fast-paced environment. The ability to interact with senior management staff in a fast paced environment, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. A quick thinker with a high level of interpersonal skills to handle sensitive and highly confidential situations, excellent communication and organizational skills, a customer service orientation, a proactive work ethic, the ability to anticipate needs, attention to detail. Excellent written and verbal communication skills and attention to detail are a must. Must be proficient in MS Word and Excel 2016.
